2020 W-2 TAX INFORMATION
Per IRS guidelines, 2020 W-2 information will be available to employees no later than
Monday, February 1, 2021. Employees will be able to access the W-2 information
online using the City of Denton Ceridian – My Reports Employee Portal.
Ceridian will mail paper copies of the 2020 W-2 to employees, unless the employee
has elected to receive electronic copy only within Ceridian.
It is very IMPORTANT for all employees to verify their name spelling and address on
the December pay stub on the Ceridian payroll website as this reflects the current
information in our payroll system and will be used to print and mail the 2020 W-2.
Please notify Lisa Manning in HR, Lisa.Manning@cityofdenton.com, of any address
and/or names changes by December 31, 2020.
Play “Holiday” Squares to Benefit United Way!
The United Way Campaign Committee invites you to join us virtually
to play Hollywood Squares-style Tic Tac Toe on Teams, with a
holiday theme on Tuesday, December 15, at 11:30 a.m.!
These pay-to-play style rounds will feature trivia questions asked
by the host to the “squares” (City Executive leadership!). With a
suggested donation of $5, YOU could be our contestants vying for
the prizes of bragging rights and our Champion’s t-shirt!

Human Resources & Benefits Updates
At the December 3 Employee Forum, the City’s Human Resources (HR) team provided
important updates related to COVID-19 testing guidelines and employee guidance.
COVID-19 Testing Now Available at Employee Health Center
HR released a Benefits Update for COVID-19 Testing at the Employee Health Center
(Clinic) that can also be found on the HUB. The memo outlines Clinic reminders,
appointment scheduling, and the COVID-19 testing requirements that employees
must meet to be tested for COVID-19 at the Clinic.
If you have any questions about the COVID-19 testing at the Employee Clinic or your

COVID-19 Scenarios and Guidelines
HR developed scenarios to provide employees with guidance on ways to protect
themselves and others in the event of a direct or indirect COVID-19 exposure. The
Top 4 COVID-19 scenarios and guidance can be found here. HR will provide guidance
to employees based on specific circumstances. All COVID-19 related issues can be
discussed with your supervisor and submitted to COVID19HR@cityofdenton.com.
2021 Important HR Reminders
• COVID-19 Sick Hours – Effective January 1, 2021, COVID-19 sick hours will be
reset to 80 hours for all employees.
• Paycheck Review – Employees are reminded to review their 1/15/2021 paystub
to confirm that all payroll deductions are correct. To access your paystub, login to
The HUB (City intranet), click on “Other,” then “Paycheck Information (Ceridian).”
For password reset or additional questions, contact the Payroll office at
(940) 349-8566.
• New ID Cards – New medical, dental, and/or vision ID cards will only be sent out
if you add new coverage or made changes to your 2020 coverage. If you did not
make any changes, you should continue to use the ID cards you have. Medical ID
cards will list all dependents covered on your medical plan; dental and vision ID
cards will not list dependents.
• Discovery Benefits Flexible Spending Account (FSA) Debit Cards – If you
re-enrolled in the 2021 Discovery Benefits FSA, continue to use your FSA debit
card received in 2020. If you enrolled for the first time in 2021, you should receive
a new FSA debit card in the mail. You can request additional FSA debit cards by
registering your dependents on the Discovery Benefits website (link).
NOTE: Employees participating in the Medical Spending Account have until
March 15, 2021 to use 2020 contributions. All claims for expenses incurred from
January 1, 2020 through March 15, 2021 must be submitted to Discovery Benefits
by March 30, 2021.
Employees participating in the Dependent Care Spending Account have until
December 31, 2020 to use 2020 contributions. All claims for expenses incurred in
2020 must be submitted to Discovery Benefits by March 30, 2021.
• Spousal Surcharge – The spousal surcharge ($37.50 per pay period in 2021) is
only required if your spouse has other health insurance available to them
(typically through an employer), and you enroll them on the City’s health plan*.
If their status changes, please contact HR to update your spousal surcharge
affidavit form to remove or add the spousal surcharge. Status changes can be
done anytime throughout the year, and it is the employee’s responsibility to notify
HR. If you notify HR after the change, refunds will not be made for past spousal
surcharge deductions.
*The spousal surcharge is waived if your spouse works for the City.
• Employee Clinic No Show Penalty Fee – The Clinic no show penalty report
resets to zero at the beginning of each plan year (1/1 through 12/31) for all
employees and dependents.
Reminder: Employee Ethics Policy & Gifts
As the gift giving season begins, please be reminded that while we are always
grateful for the appreciation and good will that gifts from businesses, organizations,
and citizens invoke, we need to avoid any appearance that gifts may improperly
influence our professional relationships and business decisions. Gift giving and
receiving should be made in accordance with conduct standards outlined in the
Employee Ethics Policy.
Key points of the Policy include:
• Under no circumstances may a City of Denton employee solicit a gift.
• City of Denton employees may never accept cash, gift cards, or any other cash
equivalents.
• Gifts from vendors are prohibited and should be politely declined, if possible.
• Any tangible gifts greater than nominally valued, widely distributed marketing
items must be donated to a charitable organization.
• Perishable or consumable gifts received from civic organizations or citizens
should not be lavish and must be shared with a department or group.
• A Gift Disclosure form must be submitted for all items that are donated, accepted,
or that cannot be respectfully declined by employees.
Compliance recently sent email correspondence to current vendors advising them
of the Employee Ethics and gift policies. If you anticipate a business or organization
might send you or your team a prohibited gift, proactively reaching out to these
parties is recommended.
