COVID-19 Testing Locations and Vaccine Resources Denton County has an online COVID-19 testing location map to provide community members with local testing locations in and around Denton. A list of testing locations can be found here and online. The Texas Department of Health and Human Services offers an interactive map to find vaccine provider locations. Click here to locate the provider nearest you. COVID-19 Sick Time In order to track sick time associated with COVID, the Finance Department is creating a new pay code for 2021 COVID sick time. As of Jan. 1, 2021, COVID sick time balances will be reset to 80 hours for full-time employees, see attached policy addendum. All other employees (3/4 time, part-time, and temporary) will have their COVID sick time hours prorated. Please note: Beginning Jan. 1, 2021, use pay code ‘SICK-COV-CTY-659’ in Kronos for COVID sick time. If you have questions, please contact the Payroll Office at Payroll@cityofdenton.com. Denton County Vaccine Update Denton County Public Health (DCPH) received an allotment of 1,000 of the Moderna COVID-19 vaccines, providing the first round of shots to emergency medical service providers and home health care workers on Monday, Dec. 28, as part of the 1A vaccine distribution group as designated by the Texas Department of State Health Services (DSHS). With the expansion of the vaccine distribution group to include 1B on the DSHS guidelines, pre-registration for the remaining doses of vaccine was completed Wednesday for individuals ages 65 and older or ages 16 and up with at least one chronic medical condition. As of January 4, Denton County Public Health (DCPH) has met capacity for its vaccination clinic and is currently anticipating the arrival of additional vaccines at a future date from the state though an exact date is unknown at this time. DCPH is one of 140 registered vaccine providers in Denton County. Individuals interested in receiving a COVID-19 vaccine should first contact their local provider. DCPH has a new COVID-19 vaccine website, which provides the latest information on who can be vaccinated, when registration for DCPH vaccine clinics open/close and how to find other Denton County vaccine providers: https://DentonCounty.gov/COVID19vaccine, United Way Fitness Challenge Did you sign up for the United Way Fitness Challenge? It’s not too late to join! The Challenge is still going on now until January 15th, and it’s still anyone’s game! Join in the fun with a suggested donation of $10 (may be made in the portal here, your User ID is your City email, your password is your employee ID number) to track your fitness goals. Participate as an individual or coordinate with your department for some good old-fashioned competition. Go to our SmartSheet Form to enter your activities whenever you want upon completion. Everything is on the honor system, and it ALL COUNTS! Walking the dog? Check! Cleaning the house for hours on end? Count it. For more information on Employee Benefits and Services visit the Human Resources HUB page. 2021 Important HR Reminders Paycheck Review – Employees are reminded to review their Jan. 15, 2021 paystub to confirm that all payroll deductions are correct. To access your paystub, login to The HUB (City intranet), click on “Other,” then “Paycheck Information (Ceridian).” For password reset or additional questions, contact the Payroll office at (940) 349-8566. New ID Cards – New medical, dental, and/or vision ID cards will only be sent out if you add new coverage or made changes to your 2020 coverage. If you did not make any changes, you should continue to use the ID cards you have. Medical ID cards will list all dependents covered on your medical plan; dental and vision ID cards will not list dependents. Discovery Benefits Flexible Spending Account (FSA) Debit Cards – If you re-enrolled in the 2021 Discovery Benefits FSA, continue to use your FSA debit card received in 2020. If you enrolled for the first time in 2021, you should receive a new FSA debit card in the mail. You can request additional FSA debit cards by registering your dependents on the Discovery Benefits website. NOTE: Employees participating in the Medical Spending Account have until March 15, 2021 to use 2020 contributions. All claims for expenses incurred from January 1, 2020 through March 15, 2021 must be submitted to Discovery Benefits by March 30, 2021. Employees participating in the Dependent Care Spending Account have until December 31, 2020 to use 2020 contributions. All claims for expenses incurred in 2020 must be submitted to Discovery Benefits by March 30, 2021. Spousal Surcharge – The spousal surcharge ($37.50 per pay period in 2021) is only required if your spouse has other health insurance available to them (typically through an employer), and you enroll them on the City’s health plan*. If their status changes, please contact HR to update your spousal surcharge affidavit form to remove or add the spousal surcharge. Status changes can be done anytime throughout the year, and it is the employee’s responsibility to notify HR. If you notify HR after the change, refunds will not be made for past spousal surcharge deductions. *The spousal surcharge is waived if your spouse works for the City. Employee Clinic No Show Penalty Fee – The Clinic no show penalty report resets to zero at the beginning of each plan year (1/1 thru 12/31) for all employees and dependents. ACA Form 1095c – All ACA 1095c forms will be mailed to employees’ addresses that are on file with Human Resources. If you have moved or need to update your address, please email Benefits@CityofDenton.com. Forms will be mailed out by January 31, 2021. Qualifying Events – If you have a qualifying event and need to make changes to your benefit elections, you will need to initiate the qualifying event and upload the required documentation in the Workterra system: https://uhc.workterra.net/workterra. Offboarding in NEOGOV – When an employee is leaving the City, the supervisor and employee can now complete an on-line version of the Offboarding Process through the NEOGOV system.
