Definition: Responsible for the operation of a comprehensive fee collection program with specific responsibility for the interview of defendants, the underwriting of payment agreements,
and initiating collection activity on past due cases. Prepares, audits, and processes cases for Warrant. Responsible for processing paperwork from police department relating to bond
postings, setting court dates, jail credit, and money received for cases.
Essential Functions:
Assists with the management of the collection of fines program for the Denton Municipal Court
Distributes applications for extension of time to pay and assist with setting up pay agreements or other alternative methods for handling case fines and fees. Reviews and processes
correspondence to the Judge regarding payment of fines
Contacts defendants regarding delinquent accounts, including issuing mail notices and/or telephone correspondence
Updates cases with current defendant information
Coordinates community service for qualifying defendants. Monitors compliance, applies credit and processes cases that are in default, when appropriate
Updates Court cases with police and jail paperwork.
Reviews cases in default of pay agreements and/or community service. Processes delinquent cases for compliance hearings and Capias Pro Fine Warrants.
Processes all cases that fail to appear to Court for arraignment hearings and Arrest Warrants.
Responds to judicial and other court personnel inquiries regarding the status of cases
Processes all jail paperwork from police department relating to bond postings, setting court dates, jail credits, and receiving money taken from the warrant office and the jail.
Provides information on case management to the Judge at specialty dockets by assisting defendants to ensure compliance with court-ordered fees and costs without imposing undue hardships.
Follows the Judge's standing orders cases to be processed correctly
Provides customer service at Collection's Office, Court Clerk's window, Courtroom, and via telephone
Ensures compliance with all applicable laws, rules, and regulations
Maintains a high level of enthusiasm and a positive attitude
Encourages teamwork within all organizational divisions to promote open communications among employees
Conducts business in a professional manner with defendants, judges, and co-workers
Always strives to go the extra step to assist customers
Uses high attention to detail, to spot errors, and to take appropriate action to correct. Works with prosecutor to resolve any problematic filings.
Attends training and workshops related to legislation updates, collections/warrant information, and other court procedures
Maintains and updates training manual for position.
Additional Duties:
Performs other duties as assigned
Cross-trains in other duties to ensure adequate coverage in other areas of the Court when needed
Minimum Qualifications / Acceptable Equivalency:
High School Diploma or GED equivalency
AND
Minimum three (3) years of experience in Municipal Court or customer service environment to include a minimum of six (6) months experience in a Court collection program
OR
Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job

Conditions of Employment:
Must have a valid Class “C” Driver’s License prior to employment
Must pass a drug test, driver’s license check, and criminal history background check
Must currently hold Level I Court Clerk Certification through Texas Municipal Courts Education Center (TMCEC)
Must obtain Level II Court Clerk Certification through Texas Municipal Courts Education Center (TMCEC) within two (2) years of employment.
Preferences:
Bilingual in Spanish and English
Experience in the area of collections, warrants, and Municipal Court procedures
Comprehensive knowledge of office practices and procedures, English, and grammar
Extensive knowledge of computer applications to include Windows, Incode Court Software, word processing programs, and LaserFiche or other document imaging software
