Court Docket Representative - GC0614 - MUNICIPAL COURT City of Denton Job Description  Title: Court Docket Representative Position ID: GC0614 Department/Division: Municipal Court Reports to: Municipal Court Administrator FLSA Designation: Non-Exempt Safety Sensitive: No DOT: No Definition: Performs administrative clerical duties for the Denton Municipal Court. Responsible for preparing case files for various courtroom dockets, trials, and hearings. Key Responsibilities: Performs duties as a Deputy Court Clerk in the Municipal Court Swears to or affirms complaint filing and probable cause affidavits Prepares and coordinates court dockets including jury and non-jury trials, juvenile proceedings, non-compliance hearings, environmental, insurance, special motions, attorney dockets, arraignments, civil nisi and bond forfeiture processes, property and dangerous animal hearings, red light camera and parking hearings Prepares documents and forms such as subpoenas, summons, and affidavits for failure to appear warrants, as needed by the judges, attorneys, defendants, witnesses, jurors, etc. Processes representation letters, motions, and summons requests received from attorneys. Prepares and processes cases for bond forfeiture and monitors compliance Functions in a paperless environment utilizing macros in a queue based workflow Assists judges, attorneys, citizens and defendants in the Courtroom; communicates with public regarding court procedures Prepares and processes cases before and after plea bargains; maintains communication with attorneys and bondsmen regarding defendant appearances and case processing Utilizes and monitors electronic recording system for trials, arraignments, and other hearings and maintains security and tracking for court of record requirements Maintains case management for non-traffic offenses and monitors compliance with court orders to final disposition Utilizes and monitors electronic recording system for trials, arraignments, and other hearings Provides customer service to defendants, parents of defendants, officers, citizens, and other parties as needed via in person and by the phone Manages and coordinates all functions of jury notification, selection and utilization activities Arranges for defendant special needs or interpretation in the courtroom Answers Municipal Court phone line assisting the public with questions regarding citations Additional Duties: Assists in other dockets and special hearings as needed Archives court recordings and processes requests for motion for new trial Performs other duties as assigned Minimum Qualifications / Acceptable Equivalency: High School Diploma or GED equivalent Four years of experience working in a Court or a Court related field including one year of experience with docket processes in a courtroom environment Level 1 certification through TMCEC OR Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job Core Competencies: Ability to communicate effectively both verbally and in writing Ability to form and maintain effective relationships with co-workers and customers Ability to find creative solutions to routine challenges and demonstrate initiative to follow through. Ability to demonstrate punctuality to assignments and personal organization. Ability to work quickly and modify the routine to fit the needs of the court on a day to day basis. Conditions of Employment: Must have a valid Class “C” Driver’s License and valid state required minimum automobile liability insurance prior to employment (must obtain Texas Class “C” driver’s license and state required minimum automobile liability insurance within 30 days of hire per state law) Must pass a drug test, driver’s license check, criminal history background check, and social security number verification check Must be able to work overtime when requested Must obtain level ll certification through TMCEC within two years of employment. Preferences: Bilingual in Spanish and English Experience working in a paperless court Working knowledge of Incode Court Software and Laserfiche or another imaging system Level ll clerk certification through TMCEC Individual with docketing experience in a medium to large Court Previous experience in bond forfeiture procedures Physical Requirements: Overall Strength Demands: The italicized word describes the overall strength demands of the functions performed by the incumbent during a typical workday.
