Administrative Assistant I - GC0414 - WATER - METERING Generic City of Denton Job Description Title: Administrative Assistant I Position ID: GP0414 Department/Division: Reports to: FLSA Designation: Non-exempt Safety Sensitive: No DOT: No Definition: Responsible for performing administrative support for the Water Metering manager, department personnel and assisting the citizens that come into our department or call with excellent customer service. Essential Functions: Functions under the general supervision provided by the Administrative Assistant III, performs standard and technical secretarial duties involving administrative detail, discretionary decision-making and specialized knowledge. Accurate and efficient data entry of work orders in to the Access data base. Provides principle secretarial support to, manager, and other office personnel. Participates and assists in the administration of the department; prepares comprehensive reports, and compiles monthly reports. Creates folders, files and purges folders. Performs data entry in the Northstar billing system. Demonstrates continuous effort to improve operations, reporting and streamline work processes Assists with compiling work orders and asset data for statistical and financial reports Performs file maintenance functions including searching, pulling and routing files. Operates office machines including printers, scanner, copier, calculator, phones, and fax machine Additional Duties: Performs other duties as assigned Minimum Qualifications / Acceptable Equivalency: High School diploma or GED equivalent Eighteen months of full-time experience in a responsible administrative support position involving typing (i.e. reports, charts, correspondence, lists, forms, applications), composing correspondence, preparing reports, filing, and other general office duties, Note: Associate degree in Secretarial Science from approved business college or junior college will substitute for one year experience. OR Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job Core Competencies: Ability to communicate effectively both verbally and in writing Ability to form and maintain effective relationships with coworkers and customers Ability to maintain regular and punctual attendance Working knowledge in Microsoft Office software including Word, Excel and Access Conditions of Employment: Must have a valid Class “C” Driver’s License and valid state required minimum automobile liability insurance prior to employment (must obtain Texas Class “C” driver’s license and state required minimum automobile liability insurance within 30 days of hire per state law) Must pass a drug test, driver’s license check, criminal history background check, and social security number verification check Must be able to work schedule Monday through Friday, preferably from 8:00am – 12pm Must be able to work overtime when requested Preferences: Bilingual in Spanish and English Physical Requirements: Overall Strength Demands: The italicized word describes the overall strength demand of the functions performed by the incumbent during a typical workday.
