Administrative Assistant I - GC0414 - WATER - UTILITIES ADMIN City of Denton Job Description  Title: Administrative Assistant I Position ID: GC0414 Department/Division: Water Utilities / Water Administration Reports to: Administrative Manager FLSA Designation: Non-exempt Safety Sensitive: No DOT: No Definition: Responsible for performing administrative support for engineering department, water and wastewater administration departments, managers, personnel and assisting the citizens that come into our department or call with excellent customer service. Essential Functions: Functions under the general supervision provided by the Administrative Manager, performs standard and technical secretarial duties involving administrative detail, discretionary decision-making. Provides principle secretarial support to directors, managers, and other office personnel. Participates and assists in the administration of the department; prepares comprehensive reports, and compiles monthly reports. Creates folders, files and purges folders after set period of time for, employee files, accounting files, and payroll time sheets and reports. Demonstrates continuous effort to improve operations, reporting and streamline work processes Orders and maintains office supplies. Classifies, indexes and files, records, forms and correspondence. Performs file maintenance functions including searching, pulling and routing files. Operates office machines including printers, scanner, copier, calculator, phones, and fax machine Additional Duties: Performs other duties as assigned Minimum Qualifications / Acceptable Equivalency: High School diploma or GED equivalent Six months work experience in related field (utility, construction, engineering) Proficient in Microsoft Office software One year working in an office environment which includes data entry, working in databases, spreadsheets and mapping software. OR Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job Core Competencies: Ability to communicate effectively both verbally and in writing Ability to form and maintain effective relationships with coworkers and customers Ability to maintain regular and punctual attendance (evaluate per position) Conditions of Employment: Must have a valid Class “C” Driver’s License prior to employment (must obtain Texas Class “C” driver’s license within 30 days of hire per state law) Must pass a drug test, driver’s license check, criminal history background check, and social security number verification check Preferences: Bilingual in Spanish and English Ability to communicate effectively both verbally and in writing Physical Requirements: Overall Strength Demands: The italicized word describes the overall strength demand of the functions performed by the incumbent during a typical workday.
