Senior Executive Assistant - GT1005 - POLICE - ADMIN City of Denton Job Description  Title: Senior Executive Assistant Position ID: GT1005-310001 Department/Division: Police Department Reports to: Chief of Police FLSA Designation: Non-Exempt Safety Sensitive: No DOT: No Definition: Responsible for providing highly complex administrative support for the Chief of Police including special projects and requiring the ability to make independent decisions which could impact the city and/or the community. Key Responsibilities: Performs both assigned and independent staff work, skilled administrative and operational duties in support of the Chief of Police. Facilitates travel registration and arrangements for the Chief of Police and prepares and processes associated travel expense forms. Coordinates Chief of Police activities, including appointments, calendars, mail logs, communications, speaking requests, and draft correspondence. Investigates resident, customer, staff, and Chief of Police concerns and consults with pertinent departments, analyzes and shares findings, coordinates and facilitates action taken by the police department, and directly communicates with the general public with the appropriate written, verbal, or in-person follow up on behalf of the City and the Police Department. Represents and answers questions on behalf of the Chief of Police when requested, requiring extensive knowledge of City and Police Department processes, procedures, and personnel. Facilitates information flow and follow-up between the Chief of Police and the City Manager’s Office, City Council, department directors, community and business organizations, and residents. Receives telephone calls and visitors and routes callers and visitors to the appropriate persons; frequently give directions or answers routine questions. Produces and drafts documents such as letters, reports, memoranda, proposals, agendas, charts, and presentations from handwritten, dictated, or other sources; proofreads and corrects documents. Maintains regular and punctual on-site attendance. Additional Duties: Performs other duties as assigned Minimum Qualifications / Acceptable Equivalency: Associate’s degree in Secretarial Science or related field, and Six years progressively responsible experience in a secretarial position which includes public contact, discretionary decision-making, and handling confidential matters and administrative duties OR Any combination of related education, experience, certifications and licenses that will result in a candidate successfully performing the essential functions of the job Core Competencies: Ability to communicate effectively both verbally and in writing. Ability to form and maintain effective relationships with coworkers and customers. Exhibits strong organization skills with the ability to handle multiple projects. Demonstrates proficiency in the use of office software systems (such as Microsoft Office Suite).
