Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: August 4, 2020 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager, or his designee, to execute a contract with Texan Waste Equipment Inc., dba Heil of Texas, through the Buy Board Cooperative Purchasing Network Contract # 599-19, for the purchase of repair services for Heil refuse bodies for the Solid Waste refuse fleet; providing for the expenditure of funds therefor; and providing an effective date (File 7421 – awarded to Texan Waste Equipment Inc., dba Heil of Texas, in the five (5) year not-to-exceed amount of $450,000). The Public Utilities Board recommends approval (7 - 0). INFORMATION /BACKGROUND This request is to approve a contract for scheduled and unscheduled maintenance and repairs on the current and future fleet of Heil equipped Solid Waste refuse trucks. Currently, there are thirteen (13) trucks in the fleet with Heil refuse bodies. The department has plans to add two (2) additional Heil bodies to the current refuse fleet in FY20/21, if approved, as well as future replacements in the latter years of the five (5) year term. The estimated total spend for Heil refuse bodies maintenance and repairs during the five (5) year contract term is $450,000. This amount is based on the spending trend of the current refuse fleet, projected spend based on the age of units, and future additions to the fleet. Heil of Texas is the factory authorized local vendor for sales and service, providing field service as well as repairs in their shop in Irving, Texas. This contract is provided through Buy Board Cooperative Purchasing Network # 599-19. Pricing obtained through the Buy Board Cooperative Purchasing Network has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On February 1, 2005, Council approved the interlocal agreement with the Buy Board Cooperative Purchasing Network (Ordinance 2005-034). On July 27, 2020, the Public Utilities Board (PUB) recommended this item to the City Council for consideration. City Hall 215 E. FISCAL INFORMATION These products and services will be funded through the using department’s budget on an as-needed basis. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
