Exhibit 1 - Agenda Information Sheet - Firehouse 22City of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: September 1, 2020 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Rene Saldivar dba Firehouse 22 Lawn Landscape, for mowing services and maintenance for Sections A – Parks Recreation – Parks, B – Parks Recreation – Medians (Northside) and I – Public Buildings; providing for the expenditure of funds therefor; and providing an effective date (RFP 7378 – awarded to Rene Saldivar dba Firehouse 22 Lawn Landscape, in the one (1) year not-to-exceed amount of $226,842). INFORMATION/BACKGROUND Mowing is required to maintain safety, aesthetics, and the City of Denton code compliance at various City owned locations. Mowing services also provide the following benefits to the City of Denton: 1. It keeps the City in compliance with Community Improvement Services. 2. It keeps the turf aesthetically pleasing and helps to thwart the growth of weeds. 3. It keeps the areas free of litter and debris. In 2018, bid 6627 for Mowing Services was awarded to five (5) individual contractors. Two (2) of the contracts were terminated on December 15, 2019, and this bid will replace the terminated contracts. Requests for Proposals was sent to 119 prospective suppliers of this item. In addition, specifications were placed on the Materials Management website for prospective suppliers to download and advertised in the local newspaper. Seven (7) proposals were received and evaluated based upon published criteria including delivery, compliance with specifications, probable performance, and price. Based upon this evaluation, Rene Saldivar dba Firehouse 22 Lawn Landscape was ranked the highest in mowing services and maintenance for Section A – Parks Recreation – Parks, Section B – Parks Recreation – Medians (Northside) and Section I – Public Buildings and determined to be the best value for the City. Below is the information Firehouse 22 provided regarding the wages they pay their employees who will be assigned to the City’s contract. PRINCIPAL PLACE OF BUSINESS Rene Saldivar dba Firehouse 22 Lawn Landscape Denton, TX ESTIMATED SCHEDULE OF PROJECT This is a one (1) year contract. FISCAL INFORMATION The not-to-exceed amount includes an additional 50% increase for contingency. These products and services will be funded through the using department’s budget on an as-needed basis. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
