Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: December 1, 2020 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager, or his designee, to execute a contract with Rush Truck Centers of Texas, LP, through the Buy Board Cooperative Purchasing Network Contract # 601-19, for the purchase of Peterbilt Trucks for various City Departments; providing for the expenditure of funds therefor; and providing an effective date (File 7517 – awarded to Rush Truck Centers of Texas, LP, in the five (5) year not-to-exceed amount of $20,000,000). The Public Utilities Board recommends approval (6 - 0). INFORMATION/BACKGROUND This proposed request is for the purchase of an estimated seventy (70) new Peterbilt trucks with various vocational bodies for all City departments over the next five (5) years. The estimated quantity and cost are based on the historical data contained in the chart below for fleet replacements and additions. All fleet replacements and additions are brought before City Council for approval in the appropriate fiscal year budgets. Planned FY20/21 replacements/additions total sixteen (16) trucks that could utilize Peterbilt truck platforms with various vocational bodies, with an estimated cost of $3,762,000. City Hall 215 E. McKinney Street Denton, Texas www.cityofdenton.com Fleet Services has worked closely with engineers at the Paccar Peterbilt plant for many years, providing product input, component testing and fleet data to enhance Peterbilt product performance, utility and longevity. In return, Fleet Services receives excellent product support directly from the plant and their Rush Truck Center Dealers. Pricing obtained through the Buy Board Cooperative Purchasing Network has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On February 1, 2005, Council approved the interlocal agreement with the Buy Board Cooperative Purchasing Network (Ordinance 2005-034). On November 9, 2020, the Public Utilities Board (PUB) recommended this item to the City Council for consideration. RECOMMENDATION Award a contract with Rush Truck Center, for the purchase of Peterbilt Trucks for various City Departments, in a five (5) year not-to-exceed amount of $20,000,000. PRINCIPAL PLACE OF BUSINESS Rush Truck Centers of Texas, LP Dallas, TX ESTIMATED SCHEDULE OF PROJECT This is a five (5) year contract. FISCAL INFORMATION These vehicle purchases will be funded from department vehicle replacement funds. Requisitions will be entered on an as-needed basis. The budgeted amount for truck purchases varies year to year based on the council approved replacements and additions. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
