Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement and Compliance ACM: David Gaines DATE: December 1, 2020 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager, or his designee, to utilize a contract through the Lower Colorado River Authority Contract Number 3783, for the acquisition of electric maintenance, repair, and construction inventory for the Denton Municipal Electric Department to be stocked in the Distribution Center; providing the expenditure of funds therefor; and providing an effective date (File 7189 – awarded to Techline, Inc., in the two (2) year not-to-exceed amount of $1,000,000). INFORMATION/BACKGROUND The proposed contract is for the supply of electric distribution and transmission maintenance, repair and operational supplies which are used by Denton Municipal Electric (DME). The intent of this contract is to supply low usage, one-time buy and specialty items not covered by any current City agreements. The City will also be able to use this contract to purchase a variety of electric items such as wire, cable, hardware, connectors, splices, and other supplies used by DME. Purchase of these incidental supplies is necessary so that DME can construct, operate, maintain overhead and underground electric facilities, and provide electric service to new and existing customers. Items are purchased as needed by the Distribution Center and by DME. Based on a historical spend and future projections the recommended not to exceed (NTE) for this contract is $1,000,000 for a total potential two (2) year contract. The Lower Colorado River Authority contract expires July 29, 2021. Pricing obtained through the Lower Colorado River Authority has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (Council, Boards, Commissions) On December 12, 2006, Council approved the interlocal agreement with the Lower Colorado River Authority (Ordinance 2006-334). RECOMMENDATION Approve a contract with Techline, Inc., for the acquisition of electric maintenance, repair, and construction inventory for the Denton Municipal Electric Department to be stocked in the Distribution Center, in a two (2) year not-to-exceed amount of $1,000,000. FISCAL INFORMATION These items will be funded through the using department’s budget on an as-needed basis. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
