SUBJECT
Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation,
authorizing the City Manager, or their designee, to execute a contract with Texas Fire & Sound, Inc.,
through the Buy Board Cooperative Purchasing Network Contract # 574-18, for the repair, installation,
inspection, and maintenance of fire suppression systems, fire extinguishers, fire, and security alarm
monitoring throughout City Buildings; providing for the expenditure of funds therefor; and providing an
effective date (File 7598 – awarded to Texas Fire & Sound, Inc., for one (1) year, with the option for four
(4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $850,000.00).
INFORMATION/BACKGROUND
The proposed contract is for the annual testing and inspection for the fire alarm systems, fire sprinkler
systems, fire pumps, fire line backflow prevention assemblies, portable fire extinguishers, semi-annual test,
and inspection on the kitchen hood suppression systems throughout the City as well as annual testing of the
special hazard suppression systems located at Engineering/System Ops. Texas Fire & Sound will provide
fire and security system monitoring services as well as maintenance, repairs, and installation of all
aforementioned services.
Based on a historical spend and future projections the recommended NTE of this contract is $850,000 for
the potential five (5) year contract.
Pricing obtained through the Buy Board Cooperative Purchasing Network has been competitively bid and
meets the statutory requirements of Texas Local Government Code 271.102.
PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS)
On February 1, 2005, Council approved the interlocal agreement with the Buy Board Cooperative
Purchasing Network (Ordinance 2005-034).
RECOMMENDATION
Award a contract with Texas Fire & Sound, Inc., for the repair, installation, inspection, and maintenance of
fire suppression systems, fire extinguishers, fire, and security alarm monitoring throughout City Buildings,
in a one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year
not-to-exceed amount of $850,000.

ESTIMATED SCHEDULE OF PROJECT
This is an initial one (1) year contract with options to extend the contract for four (4) additional one (1) year
periods, with all terms and conditions remaining the same.
This Buy Board contract expires November 30, 2021.
FISCAL INFORMATION
These services will be funded through the using department’s operating budget on an as-needed basis. The
City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
