Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: September 28, 2021 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Berry, Dunn, McNeil & Parker, LLC dba BerryDunn, through The Interlocal Purchasing System (TIPS) Cooperative Program, Contract # 200105, for the Citywide Information Technology Strategic Plan for the Technology Services Department; providing for the expenditure of funds therefor; and providing an effective date (File 7791 – awarded to Berry, Dunn, McNeil & Parker, LLC dba BerryDunn, in the two (2) year not-to-exceed amount of $82,324.00). INFORMATION/BACKGROUND The City of Denton’s Technology Services Department is seeking a contract with the consulting firm, BerryDunn, in order to complete a Citywide Information Technology Strategic Plan. Leisha Meine joined the City of Denton as Chief Technology Officer (CTO) in February of 2021. This project will not only assist the CTO with gathering an assessment of the current technology environment, but also identifying deficiencies, opportunities, and upcoming needs. Project deliverables include a roadmap that can lead the City of Denton Technology Services Department for many years to come. BerryDunn’s proposal includes an analysis of the department’s policies and procedures, network infrastructure, software and applications, data security, performance measurements, and Service Level Agreements (SLAs), asset management, change control processes, and more. The consultant team will complete data gathering exercises, a fact-finding survey, and interviews in order to gain insight into gaps, needs, and opportunities for efficiencies. This analysis will produce the following deliverables for the City: • D1 – Project Work Plan and Schedule • D2 – Preliminary Assessment and List of Issues and Opportunities • D3 – Prioritized List of IT Issues • D4 – Preliminary List of IT Projects and Initiatives • D5 – Prioritized List of IT Projects and Initiatives • D6 – IT Strategic Plan (including final budget and timeline matrix/roadmap) • D7 – Final Presentation • D8 – Biweekly Status Updates If approved by the City Council, Technology Services staff will begin working with BerryDunn on the first phase of the initiative, project planning. Project Total: $74,807.00 Contingency: $7,517.00 Total: $82,324.00 Pricing obtained through The Interlocal Purchasing System has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On May 17, 2011, Council approved the interlocal agreement with The Interlocal Purchasing System (Ordinance 2011-082). RECOMMENDATION Award a contract with Berry, Dunn, McNeil & Parker, LLC dba BerryDunn, for the Citywide Information Technology Strategic Plan for the Technology Services Department, in a two (2) year not-to-exceed amount of $82,324.
