Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: March 1, 2022 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Mac Haik Dodge Chrysler Jeep, which is an authorized distributor for Frazer LTD, through the Houston-Galveston Area Council of Governments (H- GAC) Cooperative Purchasing Program Contract Number AM10-20, for the purchase of one (1) 2022 Dodge Ram 5500 with 14 foot Frazer Medic body for the Fire Department; and providing an effective date (File 7934 – awarded to Mac Haik Dodge Chrysler Jeep, in the not-to-exceed amount of $256,179.00). INFORMATION/BACKGROUND The acquisition of new Medics (ambulances) is accomplished through the coordinated efforts of Fleet Services and Fire Department staff to ensure emergency vehicles and equipment are acquired and replaced in a timely manner. Efficient replacement enhances the safe and efficient response capability of the Denton Fire Department. The Denton Fire Department has standardized the fleet of medics to use Frazer Ltd. manufacturing modules. Standardization creates efficiencies with service, maintenance, and parts supplies which are available factory direct through Frazer Ltd., Houston, Texas. Mac Haik Dodge Chrysler Jeep submitted a quote on HGAC contract AM 10-20 for one (1) 2022 model Dodge 5500 chassis with new 14’ Frazer medic module for $243,980. The new medic will enter frontline service as M6, a replacement for FD1775. This unit will enter reserve status as a shared resource between stations as needed. Reserve medic FD1502 has reached the end of its useful life and will be auctioned after the arrival of the new medic. All Denton Fire Department medics have an estimated life of 4-years in frontline service and 3-years as a reserve unit for a combined total of approximately 8,000 hours of service. FD1503 currently has more than 7,700 hours and 14.8 total replacement points on a 15-point scale. By the time the new medic is placed in service, this unit will have met or exceeded all replacement criteria. The cost of additional equipment and supplies required to outfit this medic is estimated at $190,000, which will be purchased through existing contracts procured by the fire department, with the total cost of this project estimated at $446,179. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On June 6, 1995, Council approved the interlocal agreement with the H-GAC Cooperative Purchasing Network (Ordinance 1995-107). RECOMMENDATION Award a contract with Mac Haik Dodge Chrysler Jeep, for the purchase of one (1) 2022 Dodge Ram 5500 with 14-foot Frazer Medic body for the Fire Department, in a not-to-exceed amount of $256,179.
