Exhibit 1 - Agenda Informaton SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: March 22, 2022 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with the authorized dealer Wilson Office Interiors, LLC, through the Omnia Partners Contract Number R191802 Allsteel, R191811 National, R191803 Exemplis & 2019.001896 Kimball Office, for procurement fulfillment of office furniture for the City of Denton, providing for the expenditure of funds therefor; and providing an effective date (File 7959 – awarded to Wilson Office Interiors, LLC, in the three (3) year not-to-exceed amount of $845,000.00). INFORMATION/BACKGROUND The proposed contract will provide the ability for existing City facilities that are outfitted with Wilson furniture products to purchase replacements and or additional pieces to match current inventory. On May 21, 2019, City Council approved a five-year contract with Staples, Inc., for the acquisition of office furniture. On November 21, 2021, the City was notified of the dissolution of the project furniture division within Staples. This major change impacted several current City facility projects including the Police Department headquarters renovation, indoor firing range and substation, and the Community Services Department Loop 288 facility. The two larger projects will have independent contracts to address the large purchases, but an additional contract solution is needed for existing City facilities that need to purchase replacement and or additions to match current office furniture inventory. Pricing obtained through the Omnia Partners Cooperative Purchasing Network has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. McKinney Street Denton, Texas www.cityofdenton.com PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On September 14, 2021, Council approved the interlocal agreement with the Omnia Partners (Ordinance 2021-1842). RECOMMENDATION Award a contract with Wilson Interiors, LLC, who is the authorized dealer with Allsteel on Omnia contract R191802, National on Omnia contract R191811, Exemplis on Omnia contract R191803, and Kimball Office on Omnia contract 2019.001896 for procurement fulfillment office furniture for existing City facilities outfitted with Wilson products, in a three (3) year not-to-exceed amount of $845,000. PRINCIPAL PLACE OF BUSINESS Wilson Office Interiors, LLC Dallas, TX ESTIMATED SCHEDULE OF PROJECT Omnia Contracts R191811, R191802, and R191803 have a term of May 1, 2020, to April 30, 2023, with the option to renew for two (2) additional one (1) year periods through April 30, 2025. Omnia contract 2019.001896 has a term of May 20, 2020, to April 30, 2024, with the option to renew for five (5) additional years through April 30, 2029. FISCAL INFORMATION These products and services will be funded through the using department’s budget on an as-needed basis. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
