SUBJECT
Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation,
authorizing the approval of a first amendment to a contract between the City of Denton and AHI Facility
Services, Inc., amending the contract approved by City Council on September 19, 2017, in the not-to-exceed
amount of $3,425,000.00; said first amendment to continue to provide janitorial services in City of Denton
buildings for the Facilities Management Department; providing for the expenditure of funds therefor; and
providing an effective date (IFB 6475 – providing for an additional first amendment expenditure amount
not-to-exceed $280,000.00, with the total contract amount not-to-exceed $3,705,000.00, and extending the
contract to November 30, 2022).
INFORMATION/BACKGROUND
AHI received the City contract for janitorial services on September 19, 2017, with an expiration date of
September 17, 2022. Since the initial contract approval, five amendments have been approved for cleaning
services at Fire Stations, the Police Office, and American Legion Hall. During COVID-19, AHI was
directed to provide enhanced measures to their services in conjunction with other specialty cleaning
occurring throughout the City to mitigate spread. The need for additional funding is a result of fulfilling
these cleaning needs, as well as the extension of services until a new contract is in place. The new contract
(RFP 8032) is in the process of being awarded. Facilities Management would like to extend the existing
contract with AHI to November 30, 2022, and add $280,000 to the possible spend authority to provide for
the implementation of the new contract (RFP 8032).
PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS)
On September 19, 2017, City Council approved a contract with AHI Facility Services, Inc., in the not-to-
exceed amount of $3,425,000 (Ordinance 2017-276).
Informal Amendments
On July 22, 2019, Procurement approved a first informal amendment with AHI Facility Services,
Inc, for additional services to the contract for consumable supplies, trash services, and additional
building locations.
On June 15, 2020, Procurement approved a second informal amendment with AHI Facility Services,
Inc, for additional services to the contract for 5 Fire Stations.

On October 14, 2021, Procurement approved a third informal amendment with AHI Facility
Services, Inc, for additional services to the contract for 2 additional Fire Stations.
On December 9, 2021, Procurement approved a fourth informal amendment with AHI Facility
Services, Inc, for additional services to the contract for the Denton Police office.
On December 20, 2021, Procurement approved a fifth informal amendment with AHI Facility
Services, Inc, for additional services to the contract for American Legion Hall.
RECOMMENDATION
Award Amendment No. 1 with AHI Facility Services, Inc, to continue to provide janitorial services in City
of Denton buildings for the Facilities Management Department, in a not-to-exceed amount of $280,000, for
a total amended contract amount of $3,705,000 and to extend the contract to November 30, 2022.

FISCAL INFORMATION

entered on an as-needed basis. The new budgeted amount for this item is $3,705,000.
