Exhibit 1 - Agenda Information Sheet - Amend 1City of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Cassey Ogden DATE: January 9, 2024 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the approval of a first amendment to a contract between the City of Denton and Classic Chevrolet, Inc., amending the contract approved by the City Council on September 21, 2021, in the not-to- exceed amount of $6,000,000.00; said first amendment to provide additional funding for the supply of light duty vehicles which include sedans, passenger vans, pickup trucks, hybrid, and electric vehicles for various City of Denton departments through the Fleet Department; providing for the expenditure of funds therefor; and providing an effective date (RFP 7661 – providing for an additional first amendment expenditure amount not-to-exceed $1,500,000.00, with the total contract amount not-to-exceed $7,500,000.00). STRATEGIC ALIGNMENT This action supports Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND This contract is for an annual supply agreement to purchase light-duty vehicles for various City departments. Light duty vehicles consist of electric, hybrid, gasoline, and alternative-fueled sedans, passenger and cargo vans, sport utility vehicles, Police Patrol vehicles, and pickup trucks rated up to and including one ton. Fleet replacement history and forecasts indicate the need to purchase up to 200 light- duty vehicles over the five (5) year life of this contract, not including additional units that may be approved for fleet growth. Once replacement criteria are met, every effort is made to right-size the new vehicle for its intended application, minimize emissions, and reduce lifecycle costs. Also included in the contract is the estimated spend for maintenance and body repair work which are normally subcontracted to various vendors by the Fleet Department. The City’s contract with Classic Chevrolet, Inc. expires on September 21, 2026; however, the not-to-exceed amount will be exhausted with purchasing the 2023 planned vehicle replacements due to increased vehicle costs. The additional funding requested by this amendment will help complete the planned vehicle replacements for the 2023-2024 fiscal year. A formal solicitation will be released in Q1 2024. RECOMMENDATION Award Amendment No. 1 with Classic Chevrolet, Inc., to provide additional funding for the supply of light duty vehicles which include sedans, passenger vans, pickup trucks, hybrid, and electric vehicles for various City of Denton departments through the Fleet Department, in a not-to-exceed amount of $1,500,000, for a total amended contract amount of $7,500,000. PRINCIPAL PLACE OF BUSINESS Classic Chevrolet, Inc. Grapevine, TX ESTIMATED SCHEDULE OF PROJECT This contract expires on September 21, 2026. FISCAL INFORMATION These products and services will be funded through the department’s budget as needed. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
