R191802 Allsteel, R191811 National, R191803 Exemplis, & 2019.001896 Kimball Office, for procurement fulfillment of office furniture for the City of Denton for the Facilities Management Department; providing for the expenditure of funds therefor; and providing an effective date (File 8498 – awarded to Wilson Bauhaus Interiors LLC, in the five (5) year not- to-exceed amount of $3,000,000.00). STRATEGIC ALIGNMENT This action supports the Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND The proposed contract will allow Facilities Management to purchase Hon furniture products to replace or supplement the current inventory in City facilities. On March 22, 2022, the City Council approved a three (3) year contract with Wilson Bauhaus Interiors LLC for the acquisition of office furniture for $1,056,250. The proposed contract amount for the next five (5) years is higher than the previous three (3) year contract due to the extended duration and increased costs associated with inflation and enhanced services. Additionally, Facilities Management is completing significantly more work, which necessitates a higher investment to ensure quality and efficiency within all City departments and new buildings. The City is working to implement a uniform standard of sustainably made office furniture through efficient procurement practices. This contract will allow the City of Denton departments to replace existing worn furniture with the uniform furniture selection and place needed additional furniture in alignment with the selected standard and the City’s master plan. RECOMMENDATION Award a contract with Wilson Bauhaus Interiors LLC, an authorized dealer, for procurement fulfillment of office furniture for the City of Denton for the Facilities Management Department, in a five (5) year not-to- exceed amount of $3,000,000. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
