Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement CFO: Cassey Ogden DATE: September 27, 2022 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Gray Event Management, LLC dba Bad Dawg Tennis, for tennis classes, lessons, leagues, tournaments, and other tennis programs for the Parks and Recreation Department; providing for the expenditure of funds therefor; and providing an effective date (RFP 8049 – awarded to Gray Event Management, LLC dba Bad Dawg Tennis, for one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $1,100,000.00). INFORMATION/BACKGROUND The City of Denton Parks and Recreation Department has partnered with Gray Event Management, LLC since June 2009. During this time, Gray Event has built a strong connection with the tennis community, Denton ISD, and the Denton Area Tennis Association. Revenue in tennis programs has continually increased due to their professionalism and vast tennis experience. The new tennis center construction is scheduled to be completed sometime in Fall 2022. Gray Event Management will be a valuable asset in continuing the growth of tennis and maximizing the use of the new facility. The recent revenue history over the term of the past five years is as follows: • FY 2016-2017 – $173,668 • FY 2017-2018 – $171,882 • FY 2018-2019 – $213,990 • FY 2019-2020 – $139,752 • FY 2020-2021 – $274,113 Invoices will be paid as work is performed. In addition, specifications were placed on the Procurement website for prospective suppliers to download and advertised in the local newspaper. One (1) proposal was received, and references were checked to ensure City Hall 215 E. The proposal was evaluated based upon published criteria including safety, compliance with specifications, probable performance, and price. The department is awarding the contract to Gray Event Management, LLC dba Bad Dawg Tennis. PRINCIPAL PLACE OF BUSINESS Gray Event Management, LLC dba Bad Dawg Tennis Frisco, TX ESTIMATED SCHEDULE OF PROJECT This is an initial one (1) year contract with options to extend the contract for four (4) additional one (1) year periods, with all terms and conditions remaining the same. FISCAL INFORMATION These services will be funded from Parks and Recreation account 411200.7868. The City will retain 20% of all sales the vendor executes through lessons and 15% of all sales during tennis tournaments.
