Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Christine Taylor DATE: February 18, 2025 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Consolidated Traffic Controls, Inc., through the Houston-Galveston Area Council of Governments (H-GAC) Cooperative Purchasing Program Contract No. PE05-21, for the supply of traffic signal poles for the City of Denton Warehouse; providing for the expenditure of funds therefor; and providing an effective date (File 8749 – awarded to Consolidated Traffic Controls, Inc., for one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $2,500,000.00). STRATEGIC ALIGNMENT This action supports Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND The proposed contract is for traffic signal poles, mast arms, and associated hardware. The equipment is used for new Capital Improvement Project traffic signal construction, replacement of aging and damaged poles, and any emergency needs for public safety. This additional contract will also help to offset long lead times steel, specifically when emergency needs arise that affect public safety. These items will be carried in the Warehouse Working Capital inventory. Materials are procured by the Warehouse and charged to the user department, as needed. McKinney Street Denton, Texas www.cityofdenton.com PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On June 6, 1995, City Council approved the interlocal agreement with the H-GAC Cooperative Purchasing Network (Ordinance 1995-107). RECOMMENDATION Award a contract with Consolidated Traffic Controls, Inc. for the supply of traffic signal poles for the City of Denton Warehouse, in a one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year in the not-to-exceed amount of $2,500,000. PRINCIPAL PLACE OF BUSINESS Consolidated Traffic Controls, Inc Arlington, TX ESTIMATED SCHEDULE OF PROJECT This is an initial one (1) year, with the option for four (4) additional one (1) year extensions, with all terms and conditions remaining the same. This HGAC contract expires on April 30, 2025. FISCAL INFORMATION These items will be funded out of the Warehouse Working Capital account 800100.6801, and charged back to the using department, on an as-needed basis. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
