Exhibit 1 - Agenda Information Sheet Amendment 1City of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Christine Taylor DATE: April 15, 2025 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the approval of a first amendment to a contract between the City of Denton and Rush Truck Centers of Texas, L.P., amending the contract approved by City Council on January 25, 2022, in the not-to-exceed amount of $460,000.00; said first amendment to continue to provide telematics hardware and data services through Geotab for various City departments for the Fleet Services Department; providing for the expenditure of funds therefor; and providing an effective date (File 7891 – providing for an additional first amendment expenditure amount not-to-exceed $115,000.00, with the total contract amount not-to-exceed $575,000.00). STRATEGIC ALIGNMENT This action supports the Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND Fleet Services is requesting an amendment for the purchase of Geotab telematics Global Positioning Services (GPS) devices and data services due to an increase in approved equipment replacements and additions. Geotab GPS devices are attached to City assets and are used to track various information, including location, speed, engine idling, distance traveled, and more. The data gathered is an industry best practice and can be used to assist in making better business decisions concerning vehicle rightsizing, utilization, and possible conversion of the City fleet to alternative fuels or electric vehicles. Fleet began installing GPS devices on City assets in 2015 and has since equipped 827 vehicles and equipment. Amending the contract will address these additional needs and ensure uninterrupted services. The proposed amendment increases the total contract value by an additional $115,000, bringing the revised total not-to- exceed amount to $575,000. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On January 25, 2022, City Council approved a contract with Rush Truck Centers of Texas, L.P., in the not- to-exceed amount of $460,000 (Ordinance 22-030). On January 28, 2020, City Council approved the interlocal agreement with Sourcewell (Ordinance 20-197). City Hall 215 E. PRINCIPAL PLACE OF BUSINESS Rush Truck Centers of Texas, L.P. Dallas, TX ESTIMATED SCHEDULE OF PROJECT This contract expires on January 24, 2027. FISCAL INFORMATION These services will be funded from Fleet Services contract services account 820100.7879. Requisitions will be entered as needed. The total amended amount of this contract is $575,000. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
