7546 - UPS Maintenance SOWINTRODUCTION The City of Denton (hereinafter "City"), is soliciting proposals for Uninterruptible Power Supply (UPS) and PDU (Power Distribution Unit) /STS (Static Transfer Switches) Maintenance. This will be a competitive negotiation process. Qualified individuals, firms, contractors, consultants or entities (hereinafter "Contractor(s)"), that meet the requirements set forth in this Request for Proposals (hereinafter "RFP") and are capable of providing the services requested are encouraged to participate. BACKGROUND The City of Denton has 5 Uninterruptible Power Supply (UPS)/PDU’s and 2 STS (Static Transfer Switches) units distributed across 4 locations. They provide services for the City's council operations, Electric dispatch operations, and data centers. The City is soliciting proposals from vendors to provide maintenance and support services for these units. CITY OVERVIEW The City of Denton is an incorporated city with a population of more than 130,000 residents, located in Denton County off of Interstate 35, approximately 37 miles north of Dallas/Fort Worth. The City of Denton is a charter city operating under the City Council/City Manager form of government. SCOPE OF SERVICES Services will be provided for the following UPS units: BRAND MODEL SERIAL SERVICING Mitsubishi UP2033D-D803DU-4 06-7M71464-01 80kva Mitsubishi UP2033D-A503DU-4 02-GJW8Q1-02 50kva Mitsubishi UP2033C-A403SU-2 00-BU06Q1-05 40kva GE LP 33 Q1060-2711-B204B 60kva Toshiba UE3G2L140C61T 080800603 14kva UPS INFO: For each contract service year, the selected contractor will provide: • Preventative Maintenance (PM) Two (2) PM visits will be performed for each unit. These visits will include: o Inspecting UPS units and batteries o Performing any firmware upgrades • PM visits will be scheduled at least 10 days in advance unless requested by the City. • PM visits will take place Monday through Friday between 8:00AM and 5:00PM. • The contractor will be responsible for all fees related to PM visits. • The contractor will clean the work area upon completion of work. • The contractor will provide the City with a field report and\or task checklist after each PM visit or service call. (Please provide an example with your proposal.) • Costs for PM should be provided on a per unit basis. Services will be provided for the following PDU/STS units: BRAND TYPE MODEL SERIAL SERVICING PDI PDU PP12-4-100-G-641 110-1895 80kva PDI STS STS-FO-STD-2480-150-60 411-0009 80kva PDI PDU PPI12-0-050-E-641 440-0005 50kva PDI STS STSSBR-STD-2-480-100-60 440-0005-1a 50kva PDI PDU RPP-02-1-441-D3 180-1672 60kva PDU/STS INFO: For each contract service year, the selected contractor will provide: • Preventative Maintenance (PM) o Two (2) PM visits will be performed for each unit. o Coverage of parts and labor for the contract time period. • Support o The contractor will provide 4-hour emergency response 24 hours\day 7 days\week 365\year. o The contractor is responsible for resetting any system alarms that are activated as a result of the service they perform. It is understood that any associated costs will be paid by the City. QUALIFICATIONS • Firm's Qualifications -Describe your firm and provide a statement of your firm's qualifications for performing the requested services. Identify the services which would be completed by your firm's staff and those that would be provided by sub-consultants or sub-contractors, if any. Identify any sub-consultants or sub-contractors you propose to utilize to supplement your firm's staff. Include the firm's organizational chart, including its constituent parts, and size variation of staffing levels in the past five (5) years. • Experience and References - Provide a summary of your firm's experience in providing these or similar services. Provide a minimum of three (3) references for projects or services similar in nature and scope that your firm's team members have completed in the last five (5) years. Include brief descriptions of the projects, dates, client names and contact persons' names, addresses and telephone numbers. Public sector references are preferred. • Qualifications of Team -Provide a list of local field engineers within a travel radius that meets the 4-hour emergency response time. For these engineers, provide a brief summary of the role, qualifications and experience of each engineer, including length of service with the company. Any proposed sub-consultants or sub-contractors shall be listed with their assigned task(s) and experience. Full resumes may be included in the appendix. Requirements: UPS technicians should have a minimum of three (3) to five (5) years of experience with working on UPS systems. Supervisor if required should have at least five (5) years of experience overseeing crews performing this type of work. Vendor shall be responsible for providing any necessary special equipment that may be required to work on UPS systems. Required Statements/Documents -Include statements of assurance regarding the following requirements in the proposal: • Statement of Qualifications as outlines in QUALIFICATIONS. • Cost Proposal- Provide a total cost proposal for all products and services to be delivered in the format defined in SCOPE OF SERVICES above. Define any reimbursable expenses requested to be paid by the City. • A statement that nothing contained in the submitted proposal will be proprietary.
