Scope of Work
RFP # 7869
The scope of work shall be finalized upon the selection of the Firm. The respondent’s submission
shall have accurately described your understanding of the objectives and scope of the requested
products and services and provided an outline of your process to implement the requirements of the
Scope of Work and Services. It is anticipated that the scope of work will include, at a minimum,
the following:
1. The Contractor shall provide all management, tools, supplies, equipment and labor
necessary to maintain and repair City of Denton owned or leased exercise equipment.
2. Contractor shall have five (5) years or more of experience and be licensed and/or certified
to work on all equipment brands, including but not limited to those listed below. Proof of
certification may be required prior to award.

- Cybex
- Star Trac
- Life Fitness
- Comm-Fit
- Concept
3. Service maintenance and repair task shall be in accordance with the procedures
recommended by the respective equipment manufacturer specifications so as not void the
warranty period.
4. The Contractor will respond to telephone calls for “down equipment” within 48 hours,
and will provide an onsite inspection and diagnosis of said equipment within seventy-two
(72) hours from initial inquiry for assistance. The Contractor will be required to be on site
to perform repairs within forty-eight (48) hours after receipt of order (ARO).
5. Contractor shall contact the supervisor or designated staff person for each location to set
up a mutually agreed upon date and time of appointment.
6. The Contractor shall complete preventive tasks and return equipment to good working
conditions, clean and free of defects.
7. After the preventive maintenance has been complete; Contractor will provide location
staff with a complete report on the condition of all equipment in the fitness room(s).
8. The Contractor shall provide a written preliminary quote for all repairs needed for City’s
approval prior to work being done.
9. The Contractor shall inspect, clean, lubricate, adjust, and perform operational diagnostics
and troubleshoot potential problems. Preventative maintenance contract for fitness
equipment to include but not limited to:

- Inspect and adjust belts and cables.
- Lubrication of recommended areas.
- Vacuum under covers.
- Calibration of electronic equipment.
- Inspect power cords and plugs.
- Inspect upholstery for wear and tear.
- Inspect and tighten bolts, pedals, and screws.
- Test all functions.
- Make repair recommendations and cost quotes.
10. The frequency of preventive maintenance visits shall be specific to each location:
- North Lakes Recreation Center (monthly)
- Denia Recreation Center (quarterly)
- MLK Jr. Recreation Center & American Legion Hall (quarterly)
- Denton Senior Center (quarterly)
- Police Department & Public Safety Training Center (semi-annually)
- Fire Department, 8 stations (semi-annualy)
11. To reduce down time of equipment, Contractor will stock commonly replaced parts such
as cables, belts, selection pins, among others and work with location supervisors to stock
commonly replaced larger parts over the course of the contract period.
12. The Contractor will be performing maintenance and repair work during operating hours
while other fitness equipment is in use and available to the public. The Contractor shall
minimize disruptions and inconveniences to the users.
13. Labor Cost per hour (to be pro-rated to the quarter hour).
14. Percentage Discount from manufacturer’s price list for parts.
