Exhibit 1 - Agenda Information Sheet - Smith PumpCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Christine Taylor DATE: November 18, 2025 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Smith Pump Company, Inc., for pump parts, repair, services and rebuild of pumps for the Water Production facilities; providing for the expenditure of funds therefor; and providing an effective date (RFP 8818 – awarded to Smith Pump Company, Inc., for one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $600,000.00). The Public Utilities Board will consider this item on Monday, November 17, 2025. STRATEGIC ALIGNMENT This action supports Key Focus Area: Support Healthy and Safe Communities. INFORMATION/BACKGROUND The Water Production Department uses various pumps to convey water within the water and treatment systems. Pumps are used at the Lake Lewisville Raw Water Intake to pump untreated lake water to the Lake Lewisville Water Treatment Plant. There are three (3) remote pump stations within the distribution system that pump water to the various pressure planes throughout the system. Within the water production facilities, pumps are also used to transfer water within the plants and to pump water into the water distribution system. These services are essential to the treatment processes that ensure the delivery of safe, potable water for the City of Denton and surrounding communities. The agreement will support uninterrupted operations at the water production facilities. Request for Proposals was sent to 298 prospective suppliers of this item, including five (5) Denton firms. In addition, specifications were placed on the Procurement website for prospective suppliers to download and advertised in the local newspaper. Four (4) proposals were received and evaluated based upon published criteria, including delivery, compliance with specifications, probable performance, and price. Based upon this evaluation, Smith Pump Company was ranked the highest for Section 2 – Pumps and determined to be the best value for the City. RECOMMENDATION Award a contract with Smith Pump Company, Inc., for pump parts, repair, services, and rebuild of pumps for the Water Production facilities, in a one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $600,000. PRINCIPAL PLACE OF BUSINESS Smith Pump Company, Inc. Fort Worth, TX ESTIMATED SCHEDULE OF PROJECT This is an initial one (1) year contract with options to extend the contract for four (4) additional one (1) year periods, with all terms and conditions remaining the same. FISCAL INFORMATION These products and services will be funded from Water Operating Funds. Requisitions will be entered on an as-needed basis. The budgeted amount for this item is $600,000. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
