HomeMy WebLinkAboutExhibit 1 - Agenda Information Sheet Amend 1City of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Christine Taylor DATE: May 5, 2026 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the approval of a first amendment to a contract between the City of Denton and Anixter Inc., amending the contract approved by City Council on March 21, 2023, in the not-to-exceed amount of $1,125,000.00; said first amendment to continue to supply concrete streetlight and aggregate poles for Denton Municipal Electric; providing for the expenditure of funds therefor; and providing an effective date (IFB 8191 – providing for an additional first amendment expenditure amount not-to-exceed $281,250.00, with the total contract amount not-to-exceed $1,406,250.00). The Public Utilities Board recommends approval (5 - 0). STRATEGIC ALIGNMENT This action supports Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND This increase for Anixter Inc. is needed to provide restoration of and service to customers and is based on current supply chain issues being experienced across the electric utility industry and Denton Municipal Electric (DME). Denton’s current inventory of concrete poles is at levels reserved for normal, daily electric service operational responsibilities and emergency response. For new construction, DME prioritizes concrete streetlight and aggregate poles on a first-come, first-served basis for customers and developers who have inspections and permits complete. DME has forty projects designed and released to construction or ready to be released for construction. DME has another 128 projects currently in the design phase. When contract 8191 was created, the new standard utilized for concrete poles on Hunter ranch was not created. This caused more purchases in the last fiscal year than originally expected. Project Description Estimated Expenditure Original Contract $1,125,000.00 Amendment 1 – NTE Increase 281,250.00 Total $1,406,250.00 Approval of this increase, with a one-time not-to-exceed increase of $281,250, allows DME to better position its utility concrete pole inventory for service and minimize the growing backlog of utility concrete pole orders. DME is preparing to present a new solicitation to the Solicitation Review Committee (SRC) in City Hall 215 E. McKinney Street Denton, Texas www.cityofdenton.com June. Following SRC approval, this initiative will proceed through the standard procurement cycle, which is expected to take approximately four (4) to six (6) months from SRC review to contract award. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On March 23, 2021, City Council approved the contract with Anixter Inc. (Ordinance 23-589). On April 27, 2026, the Public Utilities Board (PUB) recommended this item to the City Council for consideration. RECOMMENDATION Award Amendment No. 1 with Anixter Inc., to continue the supply of concrete streetlights and aggregate poles for Denton Municipal Electric, in a not-to-exceed amount of $281,250, for a total amended contract amount of $1,406,250. PRINCIPAL PLACE OF BUSINESS Anixter Inc. Denton, TX ESTIMATED SCHEDULE OF PROJECT This contract will expire on March 21, 2028. FISCAL INFORMATION These items are funded out of the Distribution Center Capital Budget account 800100.6801. Requisitions will be entered on an as-needed basis. The total amendment amount of this contract is $1,406,250.
