HomeMy WebLinkAboutExhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Christine Taylor DATE: June 16, 2026 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Rush Truck Centers of Texas, L.P., through the Buy Board Cooperative Purchasing Network Contract No. 723-23, for the acquisition, repairs, and maintenance of Peterbilt Trucks for the Fleet Services Department; providing for the expenditure of funds therefor; and providing an effective date (File 9009 – awarded to Rush Truck Centers of Texas, L.P., for one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $14,679,000.00). The Public Utilities Board recommends approval (5 - 0). STRATEGIC ALIGNMENT This action supports Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND The City of Denton Fleet Services Department is establishing a contract with Rush Truck Centers of Texas, L.P., for the purchase, repair, and maintenance of Peterbilt Trucks. There are currently 115 Peterbilt Trucks of various body types in use by departments, including Solid Waste, Streets, and Wastewater. Within the contract years, there are four (4) planned additions and 28 replacements across the fleet. Reliable equipment is essential in the daily City services such as street cleaning and maintenance, refuse pickup, debris removal, and water line flushing. Furthermore, the contract encompasses service repairs for assets necessitating specialized diagnostic equipment. Peterbilt plays a central role in the existing fleet strategy. They are the regional original equipment manufacturer (OEM) authorized vendor for the heavy-duty truck platforms, and they currently support most of our Class 7–8 assets. Because Peterbilt maintains the authorized parts pipeline, warranty administration, and technical support structure for these units, a contract with Rush Truck Centers for Peterbilt trucks ensures continuity of service, accurate specifications, and compliance with OEM requirements. Leveraging the vendor’s regional presence also reduces downtime, improves parts availability, and keeps the fleet aligned with standardized platforms already in service. The proposed contract with Rush Truck Centers of Texas, L.P. streamlines the process for purchase and repairs of assets, which will assist in avoiding service delivery downtimes. The contract value is based on historical spending levels and includes estimates for future assets and services. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On February 1, 2005, City Council approved the interlocal agreement with the Buy Board Cooperative Purchasing Network (Ordinance 2005-034). On June 8, 2026, the Public Utilities Board (PUB) recommended this item to the City Council for consideration. RECOMMENDATION Award a contract with Rush Truck Centers of Texas, L.P., for the acquisition, repairs, and maintenance of Peterbilt Trucks for the Fleet Services Department, in a one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $14,679,000. PRINCIPAL PLACE OF BUSINESS Rush Truck Centers of Texas, L.P. New Braunfels, TX ESTIMATED SCHEDULE OF PROJECT This is an initial one (1) year contract with options to extend the contract for four (4) additional one (1) year periods, with all terms and conditions remaining the same. This Buy Board contract expires on November 30, 2026. FISCAL INFORMATION These products and services will be funded through both General Fund and Utility Fund Operating accounts and Capital accounts. The estimated expenditure for the current fiscal year is included in the adopted budget. Requisitions will be entered on an as-needed basis. Purchases will be budgeted in future fiscal years to align with the contract terms and expenditures. The City will only pay for items purchased and is not obligated to pay the full contract amount unless needed.
