Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Materials Management CM: Todd Hileman DATE: September 18, 2018 SUBJECT Consider adoption of an ordinance of the City of Denton, Texas, a Texas home-rule municipal corporation, accepting competitive bids and awarding a contract for the supply of precast concrete pull boxes for the City of Denton Distribution Center to Techline, Inc.; providing for the expenditure of funds therefor; and providing an effective date (IFB 6812 - awarded to Techline, Inc., in the five (5) year not-to-exceed amount of $2,500,000). FILE INFORMATION /BACKGROUND Precast concrete pull boxes provide subsurface enclosures in which Denton Municipal Electric (DME) can pull, route, splice connect, and terminate primary underground electrical cables. Pull boxes have similar functionality to manholes in that they provide subsurface space in which to perform the above tasks. Pull boxes are smaller in size than manholes and can be used in narrow easements, right-of-ways, and in locations where manholes cannot physically be placed. Pull boxes have torsion assist lids, which provide easier access to subsurface electrical facilities for field personnel to manually removing heavy cast-iron manhole lids. These items are carried in the Distribution Center working capital inventory. Invitation for bids were sent to 73 prospective suppliers of this item. In addition, specifications were placed on the Materials Management website for prospective suppliers to download and advertised in the local newspaper. Six (6) bids and 8 offers meeting specification were received (Exhibit 2). The lowest bid was received by Techline, Inc. RECOMMENDATION Award a contract with Techline, Inc., for precast concrete pull boxes, in a five (5) year not-to-exceed amount of $2,500,000. PRINCIPAL PLACE OF BUSINESS Techline, Inc. At the sole option of the City of Denton, the Contract may be further extended as needed, not to exceed a total of six (6) months FISCAL INFORMATION These items will be funded from the Distribution Center Working Capital account and charged back to the using department.
