Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance ACM: David Gaines DATE: September 22, 2020 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager, or his designee, to execute a contract with Grapevine DCJ, LLC dba Grapevine Dodge Chrysler Jeep, through the Buy Board Cooperative Purchasing Network Contract #601- 19, for the acquisition of one (1) 2021 Class 3 Brush Truck for the Fire Department; providing for the expenditure of funds therefor; and providing an effective date (File 7437 - awarded to Grapevine DCJ, LLC dba Grapevine Dodge Chrysler Jeep, in the not-to-exceed amount of $116,415.62). INFORMATION /BACKGROUND The proposed purchase is for a planned fleet replacement of a 2007 model brush truck for the City of Denton Fire Department (FD). The current 2007 model brush truck has accumulated 11.4 total replacement points on a 15-point scale and has an original replacement date of 2016. At the time of delivery of the new replacement unit, which is approximately one year, the current FD brush truck will be auctioned off due to having met, or exceeded its useful life in terms of efficiency, reliability, and cost effectiveness. This is a planned replacement approved as part of the FY19-20 budget. This truck responds to brush fires within the City of Denton, as well as in cooperation with neighboring firefighting authorities and is a crucial element of the Fire Departments fleet. The new replacement truck is equipped with a Wildfire brand brush body similar in scope and operation to the existing truck. Standard City of Denton purchasing procedures were utilized for this procurement. Specifications were developed, and quotes were obtained from three (3) reputable manufacturers of brush trucks. Fleet Services is recommending the purchase of a replacement brush truck from the lowest bidder, Grapevine Dodge Chrysler Jeep, through Buy Board cooperative contract 601-19 in the amount of $116,415.62. Pricing through the Buy Board Cooperative Purchasing Network has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On February 1, 2005, Council approved the interlocal agreement with the Buy Board Cooperative Purchasing Network (Ordinance 2005-034). FISCAL INFORMATION The vehicle will be purchased out of Certificates of Obligation Funds dedicated for vehicles and equipment. The budgeted amount for this item is $116,415.62.
