Exhibit 1-Agenda Information Sheet-Need RequisitionCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Materials Management CM: Todd Hileman DATE: February 6, 2018 SUBJECT Consider adoption of an ordinance of the City of Denton authorizing the City Manager or his designee to execute a contract through the Houston-Galveston Area Council of Governments (H-GAC) Cooperative Purchasing Program for the acquisition of two (2) new and two (2) reconditioned and remounted Frazer Type I ambulances for the City of Denton Fire Department; and providing an effective date (File 6705- awarded to Mac Haik Dodge Chrysler Jeep in the not-to-exceed amount of $691,554). BACKGROUND This item is for the purchase of two (2) new Frazer Type I ambulance boxes to be mounted on 2018 Dodge 3500 chassis and two (2) reconditioned ambulance boxes to be remounted on 2018 Dodge 3500 chassis for the Fire Department. These acquisitions were approved as part of the 2017-2018 Fiscal Year budget. One (1) new ambulance is a fleet replacement for FD0727, which will be auctioned once the unit has been brought on line. The second new ambulance is a fleet addition for Station 4 which is located at 110 Mockingbird Lane. Two (2) current 2010 model ambulance boxes will be reconditioned, remounted, and placed into front line service, replacing current units FD1305 and FD1306. The current units will then be put on reserve status. All of the Frazer Type I ambulance modules will be mounted on 2018 Dodge Ram 3500 chassis and purchased through the Houston-Galveston Area Council of Governments (H-GAC) Cooperative Purchasing Program Contract# AM10-14. Use of the H-GAC Cooperative Purchasing Network meets State of Texas statutory requirements for competitive bidding (Government Code 271.102). A pricing sheet and quotes are included as Exhibit 2. Fleet staff recommends continuing to standardize to Frazer Type 1 ambulance modules due to increased savings in parts stocking, repair familiarity, and operator training (Exhibit 3). These ambulances are quoted by the manufacturer, Frazer Ltd., through Mac Hail Dodge Chrysler Jeep who is their licensed franchise dealer. RECOMMENDATION Award a contract for the purchase of two (2) new Frazer Type I ambulances mounted on 2018 Dodge Ram 3500 chassis and two (2) refurbished ambulance boxes mounted on 2018 Dodge chassis from Mac Haik Dodge Chrysler Jeep, in the not-to-exceed amount of $691,554. Delivery of the refurbished ambulance boxes on new chassis will be based on the scheduling of the remounts. FISCAL INFORMATION The new replacement ambulance and both refurbished remounts will be funded from Fleet Services replacement accounts 810339408, 8103340408, 810341408, in the amount of $496,552. The remaining new fleet addition ambulance will be funded from Fire Department account 810357444 in the amount of $195,002. Requisition #137460 has been entered in the Purchasing software system.
