Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement & Compliance CFO: Antonio Puente, Jr. DATE: June 18, 2019 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, accepting competitive bids and awarding a contract for the supply of Traffic Signal Hardware for the City of Denton Distribution Center; providing for the expenditure of funds therefor; and providing an effective date (IFB 7019 – awarded to the lowest responsive bidder for each line item: Consolidated Traffic Controls, Inc., in a total not-to-exceed amount of $375,000; Mobotrex, Inc., in a total not-to-exceed amount of $375,000; Paradigm Traffic Systems, Inc., in a total not-to-exceed amount of $540,000; Texas Highway Products, LTD., in a total not-to-exceed amount of $1,380,000; in a total three (3) year, not-to-exceed amount of $2,670,000). IFB INFORMATION /BACKGROUND This Invitation for Bid is to supply traffic camera systems, cabinets, detectors, crossing systems, and signal and pedestrian head which are used by the Traffic Division. Without the purchase of traffic signal hardware, Traffic cannot construct, operate, nor maintain traffic control systems throughout the City of Denton. These items will be carried in the Distribution Center Working Capital inventory. Materials are procured by the Distribution Center as needed. Invitation for Bids was sent to 175 prospective suppliers of these items. In addition, specifications were placed on the Materials Management website for prospective suppliers to download and advertised in the local newspaper. Seven (7) bids were received. The awarded vendor for each item is highlighted on the bid tabulation (Exhibit 2). RECOMMENDATION Award a contract for Traffic Signal Hardware to the lowest responsive bidder for each line item, in the three (3) year not-to-exceed amount of $2,670,000. This amount is based on the purchase history for items included in the IFB, but quantities will vary depending on needs as they arise. PRINCIPAL PLACE OF BUSINESS Consolidated Traffic Controls, Inc.
