AIS - Amendment 1City of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement DCM: David Gaines DATE: May 3, 2022 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the approval of a first amendment to a contract between the City of Denton and Motorola Solutions, Inc., amending the contract approved by City Council on August 21, 2018, in the not-to-exceed amount of $7,698,901.00; said first amendment to continue to provide the purchase of Radio System hardware, to include products and services, and support and maintenance for the City of Denton; providing for the expenditure of funds therefor; and providing an effective date (File 6832 – providing for an additional first amendment expenditure amount not-to-exceed $1,924,725.25, with the total contract amount not-to-exceed $9,623,626.25). INFORMATION/BACKGROUND The City of Denton has operated a 14 channel, two-site Motorola Smartnet II Radio system since 1997, with additional upgrades in 2001. The radio system is supported by two tower sites at McKenna Park and Teasley Lane (owned by Denton County), with over 1,500 radios actively in use through the radio system supporting, Public Safety, Water, Wastewater, Parks, University of North Texas, and Texas Woman’s University Police Department. The existing Motorola Solutions contract was established to implement the P25 standards to enhance interoperability with Public Safety and others within Denton County and continue support for the City’s radio equipment and system. P25 is a set of standards for digital radio communications for use by federal, state, and local public safety agencies in North America to enable them to communicate with other agencies and mutual aid response teams in emergencies. The Public Safety Answering Point (PSAP) construction project for Public Safety has been using the existing spending authority of this contract to purchase Motorola equipment and services. The PSAP construction has utilized a total of $935,381.00 of the spending authority and an increase is needed to pay for planned contract purchase and support expenditures governed by the contract. Contract 6832 expires on August 21, 2024. The City is requesting the maximum allowable amendment percentage of 25% additional spending authority to help finish out the remainder of the contract term for years four (4) through six (6) of annual maintenances, support, and services, and any additional radio- related equipment. RECOMMENDATION Award Amendment No. 1 with Motorola Solutions, Inc., to continue to provide the purchase of Radio System hardware, to include products and services, and support and maintenance for the City of Denton, in a not-to-exceed amount of $1,924,725.25, for a total amended contract amount of $9,623,626.25. PRINCIPAL PLACE OF BUSINESS Motorola Solutions, Inc. Chicago, IL ESTIMATED SCHEDULE OF PROJECT This contract will expire on August 21, 2024. FISCAL INFORMATION The ongoing annual maintenance will be funded from Technology Services operating budget 830201.7804 and Motorola specific job cost accounts for any radio upgrade equipment. The PSAP remodel project funds used a Facilities Management job cost account.
