Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement DCM: David Gaines DATE: July 19, 2022 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a Professional Services Agreement with Sustainability Solutions Group USA, Inc., for the development of a Climate Action Adaptation Plan; providing for the expenditure of funds therefor; and providing an effective date (RFP 7996 – awarded to Sustainability Solutions Group USA, Inc., in the not-to-exceed amount of $132,000.00). INFORMATION/BACKGROUND Sustainability is a high priority in the City of Denton. The Simply Sustainable Framework (SSF) and the Sustainability Framework Advisory Committee (SFAC) inform and provide guidance for making our community more sustainable. The Sustainability Framework Fund created in August 2021 provides funding to supplement the implementation and related tasks of the SSF. The SFAC recommended several actions and programs to the City Council, via the SSF Workplan which was approved in April 2022. Request for Proposals for a Climate Action and Adaption Plan were solicited using the City’s formal solicitation process. Sustainability Solutions Group was selected by the evaluation committee. Tasks will include: • Evaluating existing information and identifying gaps • Developing a Community Engagement Plan o Pre-Engagement Planning o Engagement Materials o Community workshops/Focus Groups o Surveys o Webinars • Data Collection and Modeling • Develop Catalog of Actions, Targets, and Policies o Engagement ▪ Crowdsourcing Action Survey o Low Carbon Scenario o SFAC workshop o Financial and Economic Analysis o Co-benefits, Co-harms and Equity Analysis • Actions Progress Monitoring Framework City Hall 215 E. In addition, specifications were placed on the Procurement website for prospective suppliers to download and advertised in the local newspaper. Four (4) proposals were received, references were checked, and proposals were evaluated based upon published criteria including price, delivery, compliance with specifications, and probable performance. Best and Final Offers (BAFO) were requested from the top firm. Based upon this evaluation, Sustainability Solutions Group USA, Inc. was ranked the highest and determined to be the best value for the City. PRINCIPAL PLACE OF BUSINESS Sustainability Solutions Group USA, Inc. Albany, NY ESTIMATED SCHEDULE OF PROJECT This project will be started upon approval with a completion date of May 2023. FISCAL INFORMATION These services will be funded from the Sustainability Framework Fund 280100.8411. Requisition #155991 has been entered into the Purchasing software system in the amount of $132,000. The budgeted amount for this item is $132,000.
