Exhibit 1 - Agenda Information Sheet - Formal Amendment 1City of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement INTERIM ACM: Cassey Ogden DATE: January 10, 2023 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the approval of a first amendment to a contract between the City of Denton and Connect Technology Group, LLC, amending the contract approved by the City Council on June 2, 2020, in the not- to-exceed amount of $983,850.00; said first amendment to provide additional structured data cabling services for construction/renovation projects within existing facilities, and projected new construction for voice and data communications supporting daily operations; providing for the expenditure of funds therefor; and providing an effective date (RFP 7260 – providing for an additional first amendment expenditure amount not-to-exceed $245,000.00, with the total contract amount not-to-exceed $1,228,850.00). INFORMATION/BACKGROUND The City of Denton has a continuous need for structured communications cabling services for various construction and renovation projects and miscellaneous cabling projects within existing and future City facilities. There have been four (4) previous informal contract price and line items change amendments to the original contract to cover the increasing costs of materials and parts. The largest cabling efforts estimated in this contract were anticipated for the police remodel/construction projects. This large project had significant scope changes which directly impacted this contract. For example, PD construction project management used this contract for security cabling in addition to standard cabling which wasn’t originally an estimate consideration. Cabling costs were originally estimated at $212,000.00 however, the cabling costs for both projects are currently at $412,674.80, representing a 95% increase. Due to increased material & labor costs, project changes, and the demand for cabling services within City facilities, the City is requesting to amend the Connect Technology Group, LLC contract and add an additional $245,000.00 to the authority to spend. This would increase the spending authority on this contract from the original $983,850.00 to $1,228,850.00 and keep the original period of not more than 5 years. PRIOR ACTION/REVIEW (Council, Boards, Commissions) On June 2, 2020, City Council approved a contract with Connect Technology Group, LLC, in the not-to- exceed amount of $983,850 (Ordinance 20-977). PRINCIPAL PLACE OF BUSINESS Connect Technology Group, LLC (CTG) Carrollton, TX ESTIMATED SCHEDULE OF PROJECT This contract expired on June 2, 2025. FISCAL INFORMATION These services will be funded the using department’s budget on an as-needed basis. Requisitions will be entered as needed. The total amount of this contract is $1,228,850. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed.
