*Contract Database Search Guide for Public 1 Contract Database Search Guide The City enters in all active contracts into our database for view by the public after Council approval. Typically, the contract, ordinance, Agenda Information Sheet, Pricing and Evaluation information, and the solicitation documents are in most of the contract folders. 1. To find what contracts are active, click the folder in the repository named “Contract Search Instructions”. From there, open the PDF named “All Active Contracts”. The file name will change each time there is a Council meeting. 2. Once the PDF is open, select “CTRL + F” to search the list. You can search by date, File #, contract description, and vendor. 3. Once you have found what File # for the item you need to look at, click on the folder that corresponds with the first number of the File # (i.e. 7481 would be in the 7000’s folder). 4. To view the contents, double click the folder. There will be several documents within the folder. a. Ordinance – this is the final signed ordinance that was approved by City Council. b. Contract – this is the fully executed contract between the City and the vendor. c. Bid Invitation/Addendums – This is the solicitation document that was posted on our bidding software IonWave. Once opening this document, it will give you links to items such as the Scope of Work, pricing requirements, etc. d. Exhibit 1 – Agenda Information Sheet – This is the document that is provided to City Council that contains more information regarding the contract. This is a standard form that is required for Council meetings. e. Exhibit 2 – this exhibit is also provided to Council for pricing and evaluation information. The “Bid Tabulation”, “Pricing Evaluation”, and “Evaluation Sheet” are pulled from our bidding software listing pricing and evaluation results. There can also be pricing from Cooperative contracts that we have used for our contracts. f. Amendments – these are usually to increase the spend of our contract with the vendor, or to add new items to the contract. 5. Within the “Contract Search Instructions” folder, there is also a document labeled “Piggyback Contracts”. This list will show what vendors have agreed to let entities that the City of Denton has an agreement with use their contract pricing. The picture below shows what column this information can be found. To locate said contract, please follow steps 2-4 above. 2 a. You can also look at the first page of the contract to see if they opted in to do the piggyback.
