Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Cassey Ogden DATE: November 14, 2023 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with AllTerra Central, Inc., through the Texas Department of Information Resources (DIR) Cooperative Purchasing Network Contract No. DIR-CPO- 4504, for the purchase of a GPS unit and data collector for the Drainage Department; providing for the expenditure of funds therefor; and providing an effective date (File 8351 – awarded to AllTerra Central, Inc., in the three (3) year not-to-exceed amount of $73,100.00). STRATEGIC ALIGNMENT This action supports Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND The Drainage Department is looking to purchase a global positioning system (GPS) unit and data collector to gather field-verified information to help continue to map the City’s storm drain system. This includes but is not limited to dams, channels, inlets, junction boxes, and pipes. The data will update Geographic Information System (GIS) layers for several areas in the city to help Drainage better monitor the conditions of the stormwater system. This will also assist in updating any missing information in the asset management system. The timing of this purchase coincides with the implementation of the Stormwater Master Plan that was recently completed and recommends the department fully know and assess the conditions of assets. This purchase will help the department better serve the citizens of Denton through faster response times and more accurate information. It will also benefit the Engineering Department as it is tasked with using the department’s data to design projects and offer technical support. Water and Wastewater will be using this contract also for maintenance and upgrades of their equipment. McKinney Street Denton, Texas www.cityofdenton.com Pricing obtained through the Texas Department of Information Resources (DIR) Cooperative Purchasing Network has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On January 28, 2020, Council approved the interlocal agreement with the Texas Department of Information Resources Purchasing Network (Ordinance 20-196). On November 13, 2023, this item will be presented to the Public Utilities Board (PUB) for consideration. RECOMMENDATION Award a contract with AllTerra Central, Inc., for the purchase of a GPS unit and data collector for the Drainage Department, in a three (3) year not-to-exceed amount of $73,100.00. PRINCIPAL PLACE OF BUSINESS AllTerra Central, Inc. Austin, TX ESTIMATED SCHEDULE OF PROJECT This is a three (3) year contract. This DIR contract expires on November 10, 2024. FISCAL INFORMATION These items will be funded from GPS Unit for Mapping account 650984561.1355.30100. Requisition #161064 has been entered into the Purchasing software system in the amount of $36,056. The budgeted amount for this item is $71,300.00.
