Exhibit 1 - Agenda Information SheetCity of Denton _____________________________________________________________________________________ AGENDA INFORMATION SHEET DEPARTMENT: Procurement ACM: Cassey Ogden DATE: February 20, 2024 SUBJECT Consider adoption of an ordinance of the City of Denton, a Texas home-rule municipal corporation, authorizing the City Manager to execute a contract with Axis Construction, LP, through the Buy Board Cooperative Purchasing Network Contract # 662-22, for the installation and procurement of elevated water storage tank mixers for the Water Production Department; providing for the expenditure of funds therefor; and providing an effective date (File 8445 – awarded to Axis Construction, LP, for one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $90,000.00). STRATEGIC ALIGNMENT This action supports Key Focus Area: Enhance Infrastructure and Mobility. INFORMATION/BACKGROUND The Water Production Department utilizes equipment within four (4) elevated and two (2) ground storage tanks to maintain a consistent quality by mixing. These mixers are generally small but can make significant impacts on the quality of the water. Each water storage tank can hold between one (1) and three (3) million gallons of water, and depending on usage, that water can lose levels of quality, such as lower chlorine residual, or nitrification without preventative measures. The Water Production Department prevents this loss in quality by drawing down the tanks daily and by utilizing a mixer. The mixers will keep the water consistent throughout the depths of the tank and provide a uniform quality delivered to the city’s customers. The mixers are a key piece of equipment that can fail, and nearly half of the mixers have failed in the past year. The Water Production Department replaced three (3) mixers last year and anticipates replacing the remaining three storage tank mixers over the next five (5) years. The mixers provided by Axis Construction, LP offer a superior mixing capability, are readily available, and have cost around $30,000 each. The Water Production Department would like to reduce downtime and have a solution prepared to go for any unexpected failures, as well as routine replacement of mixers in the next few years. Pricing obtained through the Buy Board Cooperative Purchasing Network has been competitively bid and meets the statutory requirements of Texas Local Government Code 271.102. PRIOR ACTION/REVIEW (COUNCIL, BOARDS, COMMISSIONS) On February 1, 2005, Council approved the interlocal agreement with the Buy Board Cooperative Purchasing Network (Ordinance 2005-034). RECOMMENDATION Award a contract with Axis Construction, LP, for the installation and procurement of elevated water storage tank mixers for the Water Production Department, in a one (1) year, with the option for four (4) additional one (1) year extensions, in the total five (5) year not-to-exceed amount of $90,000. PRINCIPAL PLACE OF BUSINESS Axis Construction, LP Haslet, TX ESTIMATED SCHEDULE OF PROJECT This is an initial one (1) year contract with options to extend the contract for four (4) additional one (1) year periods, with all terms and conditions remaining the same. FISCAL INFORMATION These products and services will be funded through the using department’s budget on an as-needed basis. The City will only pay for services rendered and is not obligated to pay the full contract amount unless needed. These items will be funded from Water Production account 630100.6526. Requisitions will be entered on an as-needed basis. The budgeted amount for this item is $90,000.
