6426 - Printing Services, Addendum 1 (2) QUESTIONNAIRERFP 6426 PRINTING SERVICES FOR THE CITY OF DENTON EXHIBIT 4 QUESTIONNAIRE 1.            Please list your company’s regular customer service hours. 2.            How does your company ensure that jobs with confidential information are processed in a secure manner? This includes, but is not limited to information protected by federal and state laws, course information (tests), and employee information.  Do you currently have customers who require safeguards, and if so, what types of customers? 3.            Please explain what products/services/capabilities your operation plans on subcontracting, and why. 4.            What is your security protocol when you subcontract? 5.            Provide us with a listing of the equipment that will be used to handle the City’s account. 6.            Provide a list of all available paper stocks/substrates that your company offers. 7.            Describe your company’s software solution for submitting orders. 8.            Does your company’s software store previously ordered files in order to resubmit a job? If so, how long are jobs retained and accessible? 9.            Please describe what training is needed for staff to submit jobs to your company that is included in the proposed costs.  Explain how you would work with the City of Denton to coordinate the training. 10.          Does your company offer a reduced rate for a document that has a minor amount of color? If so, please explain the rates and what is considered minor. 11.          Please provide price breaks for black and white and color copy print jobs. 12.          Will the City of Denton have a designated account representative to coordinate CITY OF DENTON’s account? 13.          What will be your company’s typical customer response time for the City of Denton’s account? If your company is offering a faster guaranteed turn-around time for this contract, please explain. 14.          Explain the delivery process to deliver printed work to each of our facilities. If delivery to specific rooms (versus one central location per building) is available, please list if this is included in the rates or if there is an additional charge. 15.          Would the City have the option to pick-up an order, if necessary? 16.          Are there any planning/timeline guidelines that the City needs to be aware of when placing orders? 17.          Do you have any rush service charges? If so, please explain in detail what is considered a rush order and what are the associated charges? 18.          If delivery dates are not met, explain how the communication process will work.
