Based upon the results from the City Slogan Feedback Form which was distributed to every City employee, "Dedicated to Quality Service" was prefered by a significant inargin, All of the feedback and suggestions for slogans were creative and the Executive Committee sincerely appreciates the interest shown by employees. Harrell, City Manager SUBJECT; CITY SLOGAN/CITY MISSION STATRMBNT The September issue of "The City Limits" included an article asking for input from all of the City's employees on the proposed mission statement and slogan, Your comments are vital to this project bsoauoe the slogan is going to be a big part of the City's public image in the coming months and years, When the City places an ad in the paper, the slogan will be there, When City vehicles are out on the streets, the slogan will be on the bumper. When a letter or memo is sent out, the slogan will be on the letterhead. Whenever we come in contact with a citizen, the slogan is going to be involved in some aspect of the transaction. Managers and organizational leaders must work extra hard to set the tone for this one accept constructive criticism and reports of uncooperative behavior without becoming defensive, try to provide solutions along wlth criticisms, set a good example and don't frod negative attitudes by being inattentive to the way problems or Issues are communicated. o Formalize cross-functional or multi-departmontal teams to work on specific problems or creative endeavors. It will do this by recognizing and rewarding exemplary employees. Theme Quality Search was selected as the program's theme because it may be seen as a spin-off of the City-wide motto, it embodies the notion of all employees searching for what thoy define as exemplary performers, who are putting the City motto into practice. It further encourages them to k sponsor employees by personally and publicly recognizing their contribution. Timing The program will be conducted over a three month period, beginning January 31, and culminating in an exciting presentation at the Quality Search Celebration in May, 1969. I Performance Criteria Criteria for nomination will be based on exemplary ~ performance, Specific criteria for the selection of award f winners will be based on an employee's performance as it relates to the values and objectives of the City Mission Statement and motto, Some examples include an employee: o Performing above and beyc•nd routine quality service; o Taking proactive steps to prevent potential problems from arising: o serving as a pace setter in cooperation between departments o Showing genuine concern for assisting other employees and citizens! 2336a - l - i o Acting as a positive liaison between the community and the organization, o Consistently setting positive standards of courtesy, cooperativeness and creativity. Program Guidelines 1, Any City of Denton employee may submit a nominee to the Committee Chairperson, Paulette Owens-Holmes, along w~Lh a summary of the service or a description of the exemplary performance. (See nominee form) 2. Eligibility All City of Denton employees are eligible, Selection Committee members are ineligible. 3. Nominees All nominees will receive a copy of their nominee form and coffee mug which Mill be presented by their Department Director. A glory list of nominees will be published and distributed t.o all employees on a weekly basis. 4, Winners Exemplary actions should be documented on the nominee forms and discussed by the committee at weekly meetings, Two prizes will be awarded weekly and the culminate with two grand program will Search Celebr prizes awarded at the Quality ation ' l o Two weekly prizesi A paperweight and one day off presents y a member of Senior Management o Mont hl : Formal announcement of weekly winners in "The Qua ty Search Proclamation' and a luncheon with Lloyd Harrell, City Manager, for the 8 winners of that month. All days off shall be with pay, to be used by December 31F 1989. 2336a 2 - 5. Nomination Process Employees must use the nominee form to nominate award winners. Forms will be available at all receptionist i desks. This procedure will allow employees to be nominated by any department and level.. 111 o Nominee forms for all award winners should be received by Friday, noon of each week by the Committee Chairperson, Paulette Owens-Holmes. i o The following Monday, the Committee will select the two winners. A minimum of four committee members must be present to make the selections. o A 'glory' list will be distributed to all employees on Friday announcing all nominees for the prior week. o On Friday of that week, the presentation of weekly f awards will be performed by the respective Department Directors, o weekly winners will be ineligible for nomination for one month. o Nominees will receive a maximum of one coffee mug however it is suggested that a person with multiple nominations receive special recognition by the department. i 6. I don't feel a city slogan/city mission statement is necessary. I feel the taxpayers' money could be better spent on a pamphlet outlining the services provided by the city. I believe the idea of a slogan is a good team/organization building device, but it should be an internal concept. In m}- opinion letterhead for the entire City should be simple and { uncluttered. If individual departments want separate letterhead then specialty items could be added. Bragging in my opinion is not in good taste if we are dedicated to quality then citizens shouldn't have to be t`oTd they should already know. I would feel very uncomfortable to use some kind of bragging phrase in my professional conversations with the general public. Please include David Ham on your slogan/mission statement committee. There needs to be a feeling and humanity in the statement, showing concern/involvement for citizens and our own employees, i If a slogan/statement is agreed upon, the above would be my choice (slogan k2 and fiscally responsible statement). HOW':VER, I feel very strongly that all of the above statements should automatically be followed by staff and that citizens have a right to expect that. IF YOU HAVE TO TELL SOMEONE YOU ARE "COMMITTED" OR "DEDICATED", THEN YOU MUST NOT BE SHOWING IT'. A slogan on City letterhead is not dignified. I would agree that a "slogan" or "mission statement" would be advantageous on a memo letterhead form if one is created strictly for in-house use. f This P.R. proposal has got to be a joke'. The "quality service" certainly is.
