FIMANCXAL REPORT Carol Short reported the financial status as followst operating Account » $110817.30 Reserve Account 12,723.53 Building Fund Aaaount M 14,132.22 since the last meeting the Foundation has incurred expenses of $ 887.33. Since the last meeting $ 750,00 in sponsorship money has been received. Everyone needs ro contaot their potential sponsors by the J first of the year. SPONSORSHIP REPORT Jeff Hawkins reported the followings Hen E, Keith's money ins from their foundation. The Board needs to raise $ 60000 - 10,000 beginning tonight. We need to match Den 9, Keith's $ 200000. At +fiin time $240000 her, been committed, Carol Short reported that out of the 686 sponsor letters mailed only 26 has been returned, PUBLIC RELATIONS 2,273 brochures are ready to be mailed. TOP BANDS Susan Alspach reported that they will have the Top Hands list to Renee Lowery by January 14th, Renee will prepare labels for mailing. COMMITTEE REPORTS Cathie King reported: Twelve (z2 T•Shirts were ordered to see how the logo looks with the p~nk background. There are x larger' and 3 mediums remaining. The t-shirts are $ y0.00 each, It was decided to add more purple to the background of the t-shirts. other passible items to sell at the information booths includet golf caps visors fanny packs sports bottles head bands huggers CHILDREN'S ART TENT Betty Copeland reported: They will do the buttons and painted caps again this year. I have enjoyed serving as your President and Coordinator since 1989. The Denton Arts Festival is now on its way and with your future dedication, it will continue. I will stay until we get this all in; place, I have worked with the Denton Festival Foundation since its inception in 1980 and needless to say, it is always an exciting challenge for me and never a burden, We presented a check on your behalf, with the guidance of the Executive Committee, for $25,000,00 to the GDAC Building Fund. That was $14,000.00 from 1992 and $11,000,00 from 193. We presanted the remainder of a DDL Grant to parks and Recreation, totally $9,425,00 for security-lights and upgraded electrical systems. The Executive Board is recomntetndingg $700.00 to the Denton Police Association {$500 was donated in 191 and '92 to the NJ-Noon Lions Club for manning the reserved parking, in 5 lots, and $100 to the Woman's Club Building for their continued support. In the absence of the Treasurer, David Biles, Short gave the financial report. Operating Account; $17,261.88 Building Account; $149196.18 Reserve Account: $12,751.19 Income since last meeting: $4,465,00 Expenses sirce last meeting: $482.24 In the absence of the Sponsor Chairman, Jeff Hawkins, Short gave a sponsor- ship report, 5,900.00 collected 121,700.00 pledged and due 4,568.00 due from grants $32,168.00 At this point, we are short $2,400.00 that the board needs to raise. The members were encouraged to finish their sponsor contacts. Those present had no individual reports to make. Ray Hair was introduced, He is president of the Dallas/Ft, Worth tusicians Union and is responsible for the Jazz and pop stage scheduling, Ray announced that the Union's donation to the musicians would be $10,000.00, in comparison to $6,500,00 last year. They are also willing to book a 3rd stage with no extra cost to us. Our cost for musicians will be around $14,000.001 as stated in our budget. The offer for a 3rd stage of entertainers was accepted on condition that the rental of the stage and costs of sound and crew could be voted on at the March meeting, and that the board could raise the Additional funds. The logistics and our technical advisor, Tyler Armstrong of A&S Conderts, were discussed, Stages, crew and sound equipment have been rented And taken care of on site by Tyler and staff for the past 2 years, His services are invaluahle. Ray discussed integrating some country pop groups (Country Western Swing Show, Silver City Band, etc,) Our featured groups will be on the jazz stage on Saturday night. Bill Tillman and Brave Combo will cost $2,000,00 and $1,500 00 respectively for the Saturday night feature, beginning at 6:00 p,m, with Tillman and ending with Brave Combo, starting at 8,00 p.m. This is $500,00 less than we paid last year for 1 group. Ray discussed adding string quartets, small choral groups, etc. in the Civic Center and other roving musical Vi throughout the festival grounds. Another radio station was discussed, in addi- tion to the Oasis, that has already committed, The stage lineup will be ready by March 1. Page 2 Public Relations Chairman, Bambi Harris, gave an update on the planned PR for the festival. Sammons will be doing a commercial again, 42,000 rack cards will be ordered for distribution at schools and in bank statements, and over 1000 will be mailed to chambers, hotels and tourism stations, Media packets will be mailed around March 15. 400 posters have been ordered. Distribution of these posters will be made possible by Ben E. Keith, Pepsi, Main Street and TWU students. Ads will be running in the DRC for booth participants. A photographer will be at the next meeting. Feature stories and ads in periodicals were discussed. r Top Hands Chairman, Susan Alspach, reported that the invitation letters to join Top Hands will be mailed February 15. The deadline for response is March 15. fop Hands will be able to buy their t-shirts at the Friday night party and at the Top Hands Headquarters at the festival. They will receive l drink and 1 food coupon for the weekend, and will be required to buy a wristband, Confirma- tion letters, work schedules, coupons and volunteer guidelines will be mailed the first week in April. There will be a cashier in each DFF booth this year. Where will be 2 cashiers in the beer/wine booths, one to sell wristbands and j one to oversee the money. Shore reported that 114 letters of invitation to perform on the community/ university stages had been mailed. Lisa Racina will be added to the committee. We will have the Wine Tasting in the Jazz Area and the large Childrens Art Tent in the north part of the park, A garden cart was purchased for the food committee to help in transporting our supplies and food to the booths, First State Bank volunteers will help in the finance office on Sunday, April 25, Paul Chandler will join the Finance Committee in the Finance Office for the festival, Carol Ann Ganzer gave a report on the Wine Tasting Tent, sponsored by Julius Schepps. Julius,Schepps will provide the tent, signage and other things for a wine-tasting. They will also provide wine for the Friday night party and will sell wine by the bottles to interested sponsors and Top Hands at the party. It was suggested that a promo for the wine tasting and other special events be properly advertised, Ganzer reported that Martha Len Nelson and Tracy Kunkel will be catering the Friday night party, and that Dave Joyner of UNT will be in change of the music. All of the bands are either Denton based or were formed while studying at the University of North Texas. This event is free to the public, The City's noise ordinance is in effect from 10100 p.m. to 7100 a.mb The Code of ordinances also states that the "operation of a loudspeaker, amplifier or musical instrument at any time on Sunday" is a noise nuisance. However, the Code goes on to state that "the City Council may make exceptions upon application when the public interest will be served." The Arts Festival committee requests that officers be at the park at the following timesa 1) Officers available beginning at 500 p.m, on Friday through weekend until 10:30 p.m, on Sunday 2) Overnight security for two areas of the park with sound equipment 3) Extra officers during Festival hours and two hours after last band Saturday - 10 A.m. until midnight (last band should and approximately 10 p.m) Sunday - noon until 1000 p.m, (last band should end approximately 8 p.m. 4) One officer to be in bank area and drive with treasurer to deposit money during festival 5) Bike, patrols were at the event last year and were a big hit with families 6) Any time on-duty officers are available for drive by or walk through would be appreciated if other calls allow All I realize that this is a very big commitment, i hope that officers will be available for these times, The Police Department was exceptionally cooperative and flexible .last year, despite last minute demands. Dear Friends of the Denton Arts Festival l The 1993 Denton Arts Festival will be held April 24-25 in the Denton Civic Center Park, East year's event attracted 25,000 visitors to enjoy over 400 entertainers and over 100 booths representing artists, games, art activities, food and information, WHAT WILL BE AVAILABIA? AT THE FPSTIVAL? The 2-clay "arts in the park" will once again showcase the best in professional jazz and pop music, fine arts, crafts and entertainment and performances by community and university groups. Children's art activities and a wide range of food and beverages complement the festivities. Adjacent park facilities such as the Civic Center Denton Senior Center and the Woman's Club Building will house artists and performers in addition to the three outdoor performance stages, Metroptex radio stations will broadcast from the jazz and pop stages. The Wine-Tasting Tent will cielight the conno€smeurs as they taste wines fronr Texas, California, France, Italy and Germany, Denton County non-profit organizations will also be invited to be booth participants. The Denton Arts Festival provides a fund-raising opportunity for their charitable causes. There will be no admission charge for the festival allowing families and individuals to experience a rich variety of performing, visual and culinary arts along with numerous cultural activities. WHO PRFSPNTS THE ICI?NTON ARTS FESTIVAL? The citizens of Denton are proud to have such a successful event in their community. With the guidance and leadership of the Denton Flestlval Foundation Board of Trustees, plans are already underway for the '93 festival, The foundation Includes representatives from tine City of Benton, County of Denton, Dallas/Fort Worth American Federation of Musklans, Ureater Denton Arts Council, Denton Chamber of Commerce Convcntlon and Visitors Bureau, Texas Woman's University, `University of North Texas, Menton County Historical Commission, North Texas Area Art League, Denton County Fair , Association, Denton Hotel/Motel Association and many other business and civic lenders. We should not book bands on the professional stages until 1;00 pm on Saturday and no earlier than noon on Sunday, Could we use the stages for some community arts groups or university groups from 10;00 am to noon on Saturday and 11;00 am on Sunday'? Crowds were not at all large on Saturday morning and early on ,Sunday. Maybe we need a third professional stage and Integrate more progressive country western music mixed with the pop music. Let's not ray so much money for a headliner group on Saturday night, Oet a big name jazz star to play with the One U'Clock on Sunday. The participation of some of the community arts groups was disappointing. More and better recruitment of community arts and university groups to it participate. III, VISUAL ARTS A good variety of arts and crafts, We need more artists to participate, Artists cannot set up for just one day of the festival. Rvery artist must be paid in full before set tip, Denton Festival Foundation needs to sell coffee and Iced tea Inside the Civic Center, We need to encourage a small donation from proceeds of the artists to the Festival Foundation. Uteat placement of the artists in and around the Civic Center, If we grow with artists, we need to Identify more outdoor space, Some artists that prefer outside might want to be on the north side of the park. We could separate crafts and fine arts this way, Do we need more security in the Civic Center? Good advertising - Do we need more? All booths should have a snap, People expect you to know where things are. All booths need a price list on the Inside; for workers, All booths need a plastic garbage can In the booth - not near it. The Top Nand party used the food we brought for the festival. Do not have any idea what amount of food we served, Have to have a cart of some kind to move supplies from place to place. Also the volunteer has to buy their boor or wine from the cashier,' This should stop the temptation to drink for free "because I am a volunteer". Drink coupons should be torn In half and placed In a receptacle for coupons and not in the aprons, We should he aware that some of these coupons were recycled, Do we need tickets for the beer and wine that are sold In each beer/wine booth? If we had a cashier for each booth, that person will be responsible for a central cash box, pickups from finance, and emptying aprons of volunteers and making sure they have enough change, The aprons from Ben 13, Keith worked well for all F)FF booths, Top Hands do not get free beet at the booths, They get their free beer and wine at the Frlday night party, The beer chairmen need to enforce this and set a good example, Free Boer/wine will not be available to any DVV chairmen, 1 bf~I' Beer and Wine Booths - continued Wlion shift is over for a volunteer, they should leave when their replacement arrives and not hang around the booth and insist on working, They should report to the Top Hands headquarters and see if they are needed in another area, I Beer Chairman should have the beer/wine booths open on time each day, Coordinate this closely with the beer and wine companies, Wristbands work great. No one should be drinking without a wristband on.
