HomeMy WebLinkAbout21-705RESOLUTION NO. 21-705 A RESOLUTION CONFIRMING REVISIONS TO COMMENT CARDS PROVEDED FOR INDIVIDUALS TO COMMENT AT CITY COUNCIL MEETINGS; AND PROVIDING AN EFFECTIVE DATE. WHEREAS, the City Council desires to have an opportunity to communicate directly with individuals who address Council in accordance with prior registration, open microphone, speaking on consent and regular agenda items, or public hearing procedures described in 2- 29(f)(4) of the City of Denton Code of Ordinances; and WHEREAS, to facilitate this goal, an opportunity to provide an email address for subsequent correspondence on the respective agenda item or the issue raised in the individual’s comment should be offered to those individuals; and WHEREAS, email addresses provided for the purpose of communicating electronically with a governmental body are not subject to disclosure under Texas Local Government Code Chapter 552; and WHEREAS, the City Council finds it prudent to provide clarity as to how information provided on the comment card may be used by the City of Denton; NOW, THEREFORE, THE COUNCIL OF THE CITY OF DENTON HEREBY RESOLVES: SECTION 1. The comment cards for city council meetings provided in accordance with City of Denton Code of Ordinances 2-29(f)(4) shall be revised to include a space for email address, and language to notify the commenter that while providing an email address is optional, it will only be used by council and staff to communicate with the individual regarding the respective agenda item or their comments, and would not be subject to Public Information Act requests. SECTION 2. Councilmembers and staff shall refrain from using emails collected from comment cards for any purpose other than to discuss the issue raised in the individual’s comment. SECTION 3. This resolution shall become effective immediately upon its passage and approval.
